Job Description

Green For All seeks a motivated, tech-saavy, detail-oriented, and highly organized full-time Assistant to support the Green For All National Director. The Assistant’s primary role is to ensure the director is able to advance our highest priorities by managing her time/schedule well, preparing materials, backgrounders, and briefing memos, coordinating across the team to gather and disseminate key information, conducting data entry, and providing special project support. This is an excellent opportunity for a detail-oriented person with strong written and verbal communication skills who wants to learn more about nonprofit program management or Green For All issues, and is looking for an entry level or early career job with potential to grow. 

 

Primary Responsibilities include:

  • Managing the calendar of the National Director, scheduling and preparing her for appointments and speaking engagements.
  • Attending internal and external meetings and logging notes in Salesforce to keep contact databases and relationship records current. 
  • Track action items from meetings and assign follow up tasks in Asana (a project management tool), to ensure strong follow up and follow through. 
  • Conduct background research for special projects and prepare materials and briefing memos to support National Director, as requested. 
  • Gather and synthesize information from the program team to draft material for grant reports and funder updates.
  • Working with the Development Team to research potential funders/sponsors for campaigns/events, and draft sponsorship materials. 
  • Assisting with purchasing, expense reimbursement, and processing MOUs with community partners. 
  • Assisting with Green For All new hire process, scheduling interviews and prepping materials for the hiring committees.
  • Once travel resumes, booking travel and lodging arrangements. 
  • Once in-person events resume, providing event support including managing venues and logistics. 
  • As requested, draft agendas and facilitate internal or external meetings, using innovative and participatory meeting facilitation techniques. 
  • As requested, assist with background research, data entry, issue memos, and other preparation of reports and issue briefs.

Candidates must be comfortable working with a small, fast-paced team, be able to efficiently handle multiple deadlines, and be driven by a deep commitment to social justice. Ideal candidates are detail-oriented, enjoy establishing and maintaining systems and relationships, and have excellent written  and verbal communication skills.

  • Excellent administrative and organizational skills
  • Ability to manage time effectively and manage multiple priorities
  • Ability to work effectively with a remote team and remain highly communicative and accountable 
  • Proactive, can-do attitude and creative problem solver 
  • Tech savvy (proficiency with Google applications, video conferencing platforms, calendaring systems, etc. Experience using Slack and Asana a plus!)
  • Familiarity with Green For All issues (climate, clean energy, transportation or green jobs/labor) or direct life experience being impacted by poverty or pollution is a plus 
  • Meeting facilitation skills a plus

This full-time salaried position will work remotely or from the Oakland, CA office. Reliable access to an internet connection and willingness to spend significant time working from a computer will be necessary to perform this job.
