 SUMMARY

Nexamp is seeking an experienced Office Experience Manager to join the company’s growing team based in our Boston, MA headquarters. We’re looking for someone who will help instill a fun, welcoming and safe environment for all of our employees and visitors in our Boston Office. The Office Experience Manager is someone who is welcoming by nature but runs a tight ship. The best candidates will be incredibly personable, flexible, and will assist others with a smile. 

We are presently predominately remote, and in the process of phasing Nexampers back into the office safely. The first 6 months will be heavily focused on logistics, return to work, and virtual engagement. The person in this role is expected to work out of the Boston office.

RESPONSIBILITIES

  • Own the culture/office experience for all Nexampers. 
  • Manage day to day operations of Boston office and provide general administrative support as needed. 
  • Coordinate activities/events with other satellite locations (Chicago, Washington DC, Haverhill, MA, Sturbridge, MA). 
  • Manage onboarding of new hires and coordinates monthly orientations.
  • Act as point person for building and property management. 
  • Coordinate all logistics, furniture and other supplies with internal IT and external vendors. 
  • Manage the online company store. 
  • Manage ongoing relationships with vendors and service providers. 
  • Organize and schedule office wide meetings and events. 
  • Maintain and order all supplies and coordinate food orders. 
  • Keep kitchens organized and stocked with supplies at all times. 
  • Maintain all conference rooms' cleanliness and general appearance of the office. 
  • Retrieve and distribute mail, manage distribution of business cards. 
  • Manage FedEx account and handle shipment of outgoing business related packages. 
  • Manage off business hours deliveries. 
  • Coordinate safe return to work, which includes coordination of in-house COVID testing staff (this is a temporary responsibility).

 QUALIFICATIONS

The ideal candidate must be enthusiastic, self-motivated, hands-on, results-oriented, and a team player. Key qualifications are as follows: 

  • Bachelor's degree or equivalent work experience.  
  • 2-3 years of office support or executive assistant experience. 
  • Strong oral and written communicator. 
  • Loves to plan events and has an eye for creativity for ad hoc tasks. 
  • Outgoing and personable. You love to talk to everyone but can also get stuff done. 
  • You feel comfortable owning projects and confident making decisions; takes initiative and works well independently.
  • You work best under pressure and can juggle tasks. 
  • Strong organization and attention to detail. 
  • Experience planning travel is a plus. 
  • Ability to work in a fast-paced environment with changing needs and requirements.  
  • Can work at Nexamp’s Boston office.
