Project Controls Specialist

Reporting to: Operations Manager

Location:  Phoenix, AZ or San Francisco, CA Preferred

Position Mission:  Generate Capital is hiring a Project Controls Specialist to support the Asset Operations Team. Reporting to the Operations Manager. The mission of this position is to manage, coordinate, and reconcile the work of a cross functional team to deliver timely and accurate accounts reporting to provide a seamless customer experience.

ABOUT THE POSITION

We are looking for someone organized and detail-oriented, who loves to make chaotic situations run smoothly, understands the value of strong processes and will enthusiastically familiarize oneself with our software systems and business operations  to assist in creating and then managing a seamless, efficient, and highly organized revenue billing and expense management process. This person is passionate about the type of work Generate is doing, looking to apply their experience to help scale a growing business and drive critical internal process efficiencies and initiatives. This person can juggle – and juggle well – managing a variety of stakeholders and projects simultaneously while providing the highest standards of service.

 

What you will be doing at Generate Capital as the Project Controls Specialist:

  • Customer Support
    • Onboarding
      • collect paperwork, complete credit checks, interface with ERP
      • understand customer needs and requirements for billing and documentation
      • develop process & procedures to assure customer compliance and implement process in coordination with field mgmt.
    • Account Management
      • contract pricing & compliance mgmt.
      • manage supporting document received at point of sale site staff.
      • Create back up files of source documents & organize in a manner that is easily accessible by customers
      • Create, review, and submit invoices
      • Participate in the development of invoice automation process
      • Create Monthly Sales Register to provide back up for Revenue recorded on G/L
      • Stay in regular contact with customers regarding collections & generate and distribute
      • Take ownership of Aged A/R listing
      • Make recommendations for accounts to be reserved for potential loss and for write off
    • Success
      • Communicate and resolve any invoice disputes or missing documentation
      • Provide feedback to Supervisor regarding any customer satisfaction issues
      • Ensure timely delivery and accuracy of supporting & compliance documentation
      • Compile and manage sustainability reporting
  • Operations Support
    • Vendor & contractor onboarding, documentation, and compliance management
    • Periodically travel to project sites to develop basic understand of business operations, staff, vendors, and customers
    • Assist in keeping files maintained and orderly (physical and digital files)
    • Participate in on-site training for new facilities and teams
    • Develop an in depth understanding of the general ledger and how to classify revenue and expenses for all types of activities
      • Review process, assure accuracy of project expense classifications on P&L’s
      • Review the G/L coding for all invoices
      • Coordinate with vendors to ensure accuracy of billing information and resolve expense disputes
    • Expense Report Mgmt. review credit card statements for compliance and ensure accurate cost accounting
    • Cash management reporting,
    • Manage and ensure accuracy of monthly accruals process
    • Carefully and accurately maintain shipping records, BOL’s & Manifests for commodities sales or other requested categories including goods sold, returned, dunnage, and returnable pallets etc...
    • Complete information on damage claims for in-transit damage
    • Coordinate schedule with internal teams, and control for timely completion monthly close.
    • Track and analyze financial data and budgets and produce reports regularly

Candidate qualifications & core characteristics:

  • A demonstrated passion for, or commitment to, our mission
  • BS in related field plus 5 or more years of related work experience
  • Familiar with general accounting principles, bookkeeping, AR/AP, profit and loss statements
  • Basic knowledge of the transportation and logistics industry
  • Highly organized and detailed-oriented
  • Excellent time management skills with a proven ability to meet deadlines.
  • Advanced knowledge of the Microsoft Office suite, adobe acrobat
  • Experience using Salesforce, MS dynamics 365 Business Central
  • Prior experience in providing customer service via email and telephone
  • Ability to exercise tact, courtesy, and ethics when dealing with vendors, co-workers, and customers.
  • Prior experience with creating and documenting business processes
  • Excellent organizational and self-management capability
  • Demonstrated ability to work effectively in a cross functional team
  • Ability to rapidly learn new concepts with minimal formal instruction
  • High level of self-awareness and humility, with excitement about confronting uncomfortable situations or new challenges
  • Intellectual agility and curiosity, superb analytical skills; problem-solving is your default mode
  • Experience in a growth company is preferable
