The opportunity

This is a one-year contract position working with our small team of executives. You’ll manage calendars, travel schedules (post-covid), board meeting preparation, and support the business at large.

Who are you?

An experienced executive assistant, you’ve supported C-Suite executives for a few years and are looking for your next challenge. You’re a skilled planner, organizer and communicator who sweats the details and is always thinking two steps ahead.

What will our new Executive Assistant work on?

  • Managing Schedules. Supporting a small team of executives, you’ll prioritize and book meetings while rescheduling as needed. Our executive team is always on the road, and requires consistent, live support to keep things moving.
  • Communications. Help our executive team make sure their voice is heard. Organize, take notes and build out agendas for our board meetings.
  • Travel Scheduling. Arrange complex international travel plans and meetings. You’re a pro at making sure everyone gets where they need to go.
  • Support the overall business; assist with expenses, administrative and coordination tasks.
  • Support our return to our offices when the time is right (post-Covid)

Requirements

Here’s what you bring:

  • The experience. You’ve supported a team of executives in a fast-paced, dispersed office environment for 3+ years. In your past roles, you’ve learned how to think on your feet, take direction and take initiative when the situation calls for it.
  • The flexibility. Priorities change, and you’re ready to tackle whatever comes next. You understand that emergencies happen outside business hours and are able to pivot to meet your team’s needs – whether it’s an urgently scheduled meeting or last-minute plane ticket.
  • The technical skills. An expert in everything Office365, you know your way around a calendar, a Word Doc or an Excel sheet. You love new technology and finding process improvements to make everything run more smoothly.
  • Outstanding communication and interpersonal skills. Our team is dispersed across North America, and you’ll need to communicate clearly and confidently to make yourself heard.
