Job Description

Indigo improves grower profitability, environmental sustainability, and consumer health through the use of natural microbiology and digital technologies. Utilizing beneficial plant microbes and agronomic insights, Indigo works with growers to sustainably produce high quality harvests. The company then connects growers and buyers directly to bring these harvests to market. The Front Desk/Office Coordinator will serve as a crucial support role, in conjunction with other administrators, to provide the backbone to a smoothly run office environment.  The Front Desk/Office Coordinator will play a key role in the overall presentation of Indigo to all employees, visitors, and guests.  As the first point of contact for our guests, the Front Desk/Office Coordinator must provide a welcoming professional experience and should embody Indigo’s high energy culture of innovation and collaboration.  As a support function, the Front Desk/Office Coordinator will help make the environment for all employees to be a clean, reliable, highly motivating and healthy place to work. Responsibilities:

From day one, you demonstrate a high level of professionalism at all times and with all interactions

  • Understand and embrace the importance of guests’ initial interaction with Indigo, and you continually contribute to a positive, high energy, enthusiastic, service-oriented vibe when greeting and assisting guests and Indigo team members
  • Visitors and Indigo employees regularly comment on helpfulness, friendliness and competency in dealing with the management of the office and guests

You take ownership & pride in maintaining our office space to the highest standards

  • Maintain exceptional and open lines of communication with Office Coordination Team and across office spaces
  • Own the stocking of kitchen areas by creating grocery orders, receiving them, and unpacking them
  • Work with team to manage overall food supply across both offices while adhering to Indigo’s nutritional guidelines
  • Maintain cleanliness of kitchen and reception areas
  • Take ownership of creating a visually appealing and functional system for food storage and display
  • Understand the ordering process and ensure that the office supplies are appropriately stocked at all times.
  • Assist vendors with setting up and coordination of office lunches when needed
  • Coordinate with vendors when required for repairs and maintenance of kitchen appliances and other office machines
  • Assist with the receiving and distributing of incoming mail and help staff with shipping/outgoing mail

You quickly develop rapport with current employees across all levels to provide assistance whenever required

  • Maintain an extensive internal knowledge base of "who does what" at Indigo in order to provide guidance and be a resource to teammates

You develop rapport with all levels of staff and are viewed as a trusted source for assistance with administrative items

  • Support teammates and provide direction to the proper resources for obtaining the help desired in a timely manner
  • Maintain a working knowledge of office space changes, org changes, company changes, staff event information, location of collateral, and different support tools in the office
  • Give directions and guidance to visitors (around the office, Hood Park, and parking lots)
  • Assists with technology set-up assistance (video-conferencing, etc.)
  • Maintain and manage resources at desk for employees: gym waivers, copies of the guest NDA, badge holders, card reels, check in stickers, office maps, guest security key cards, and Lost and Found

Qualifications:

  • Proven experience as an office assistant, administrative assistant, or relevant office support role
  • Proficiency in Microsoft Office (Outlook, Excel)
  • Knowledge of transactional accounting processes/systems (billing, invoicing, ERP, etc.)
  • Proven success in fast-paced support or administrative capacity
