JOB OPENING:

Administrative Assistant

Established in 2018, Grounded is a philanthropic organization that exists to identify, advance, and scale climate solutions to ensure a livable planet. Grounded convenes and fosters collaboration between the world’s foremost climate change experts: a diverse community of scientists, policymakers, investors, executives, and front-line organizations to cross-pollinate transformative ideas and innovative solutions.

Position Summary

The Administrative Assistant will be a mature and proactive self-starter professional, interested in a support position for a mission-driven initiative.

This position will report to the Head of Operations and ensure timely coordination with the Founder’s Chief of Staff.  They will provide support to the Founder and Grounded Team to ensure smooth and efficient operations and coordination. Tasks will include scheduling meetings, coordinating communication, supporting in drafting briefs and documentation, and logistics across Grounded operations.

Essential Tasks

General Administrative Support:

  • Coordinate Daily with Founder’s Chief of Staff to identify Grounded-related priorities
  • Coordinate scheduling of Founder and team meetings
  • Keep accurate minutes and support in assigning follow-ups for team meetings
  • Daily review of calendar keeping all appointments and coordinating calendars
  • Coordinate booking and logistics for organizational travel
  • Coordinate scheduling and logistics (meals, accommodations, event reservations) for meetings, team retreats, and special events
  • Assist with organization of online drive, or in identifying other IT solutions, for efficient documentation and filing system
  • Maintain Salesforce database and track communications and engagement

Executive Communications Support:

  • Check Founder’s Grounded Email account daily (Morning & afternoon)
  • Meet with Founder bi-weekly to review Grounded related emails
  • Draft, proof-read responses and send Grounded related emails

 

 

Essential Skills, Experience, and Education

  • Bachelor’s degree in a relevant field highly preferred, including business administration, project management, or nonprofit management
  • 3-5 years experience in an administrative support role
  • Strong organizational and project management skills
  • Impeccable oral, interpersonal, and written communication skills, with strong attention to detail
  • Capable of using discretionary judgment
  • Skilled in Microsoft Word, Excel, Outlook, and Google Suite
  • Experience with high profile and/or fast-paced startup environment strongly preferred
  • Environmental/Climate Change NonProfit experience a plus, but not necessary

 

Timing and Location:

Ability to start immediately. This position is fully remote, however, West Coast residents preferred. Position based on an hourly basis, estimate 25 hours a week, with potential to increase.
