The Good Food Institute (GFI) is at the forefront of the movement to use food technology and markets to solve some of the world’s biggest problems, from climate change and global hunger to antibiotic resistance and the exploitation of animals. 

How You Will Make a Difference

In this role, you will have the opportunity to support GFI’s mission by assisting GFI’s Collaborative Assistance Team (Finance, Human Resources, Information Technology, and Legal). The Executive Assistant, Collaborative Assistance Team will be responsible for:

  • Assisting with departmental duties, such as:
    • Maintaining department compliance calendar.
    • Supporting OKRA (goal setting) process for the department and ensuring all reporting deadlines are met.
  • Assisting with human resources duties, such as:
    • Assisting with onboarding new employees, including sending onboarding instructions, creating accounts on multiple platforms, updating email distribution group lists, ordering hardware and software, initiating I-9 verifications, scheduling meetings, assisting with the Onboarding Buddy program, and logging purchased property.
    • Supporting the Human Resources Manager in employee separations, including transferring and deleting accounts, coordinating return of GFI property, and entering end dates into the I-9 Portal.
    • Assisting with onboarding and offboarding of interns and fellows.
    • Mailing out GFI T-shirts and managing inventory.
    • Supporting compliance monitoring with hiring notices & employment posters for each state.
    • Coordinating ongoing anti-harassment training for the team.
    • Administering the promotions in place process, including sending forms to supervisors, tracking approvals, and drafting announcements.
    • Performing the first pass of applications and rejecting applicants who do not meet the minimum qualifications.
    • Assisting the hiring team with posting new positions to job boards and evaluating job advertising options.
    • Assisting the Senior Talent and DEI Manager with researching diversity- and inclusion-related topics and sharing resources with the team.
  • Assisting with IT duties such as:
    • Assisting with help desk tickets, including adding new users to various systems, resetting passwords, ordering replacement items, and setting up group accounts.
    • Serving as support Admin for Google Workspace, Headspace, LinkedIn Learning, GFI Intranet (Jostle), Help Desk, Asana, Office Depot, Zoom, and Adobe.
    • Trading in or re-purposing returned company property.
  • Support planning the 1-2 team retreats that GFI holds annually, including gathering vendor quotes, coordinating staff transportation, conducting staff surveys, and ordering supplies.
  • Assisting the General Counsel and VP of Administration with various items including calendar management, administering department Policies and SOPs, and preparing presentations.
  • Performing other duties as assigned.
Who We’re Looking For 

The Executive Assistant, Collaborative Assistance Team must have:

  • A minimum of four years applicable work experience (previous administrative experience preferred).
  • Strong aptitude and enthusiasm to learn new software and systems.
  • Proficiency in Google Workspace applications (Docs, Sheets, Slides, Meet, Calendar, Forms).
  • Experience with Asana, Zoom, Airtable, Zapier, Adobe, ADP, or similar tools is a plus.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a high degree of organization and efficiency.
  • Self-motivation and the willingness to take initiative to fill gaps, meet needs, and support the CAT team.
  • Comfort working remotely and in a rapidly growing and evolving organization.
  • Strong support for GFI’s philosophy and mission; demonstrated interest in public health, environmentalism, animal protection, or hunger relief.

The Fine Print

  • Terms of employment: Full-time, non-exempt
  • Reports to: Natalia Veinott, Paralegal and Administration Coordinator
  • Location: Remote; United States
  • Travel: Up to two weeks per year for company retreats.
