Position: Office Services Coordinator, Ames, Iowa

We are looking for an Office Services Coordinator to join our team at our newly expanded office in Ames, Iowa. In this role you will provide direct, onsite support at our Customer Success Center creating an environment that fosters connectiveness and collaboration which brings out the best in our team and partners. You’ll also serve as a champion of the Pivot Bio culture, helping us maintain a consistent, unified employee and guest experience. You will be a critical member of the Office Operations team, contributing to a supportive, efficient and inspiring work environment. Responsibilities:

  • Maintain common areas - supplies, organization, conference room upkeep
  • Provide administrative support for recurring and ad-hoc office service needs- including reception, shipping & receiving and serve as first-line support for meeting coordination, IT assistance, and local onboarding
  • Organize, document and communicate general office procedures to enable employee self-service
  • Help organize weekly, monthly and special events – including internal and external team meetings, seasonal marketing and sales events, and logistics
  • Ensure a consistent and unified experience for employees and visitors across all Pivot Bio locations
  • Point of contact for building managers and office service vendors

Qualifications and Experience

  • Minimum 4 years of prior office or administrative experience required
  • Excellent communication, organizational and customer service skills required
  • Ability to manage and prioritize multiple tasks and projects
  • Basic office equipment and IT troubleshooting skills required
  • Must have valid driver's License
  • Occasional nights, weekend which could include overtime
  • Ability to lift and carry up to 20 pounds

Must be authorized to work in the United States
