Job Description

Position Summary
The Fellowship team is responsible for the design, execution, evaluation, and improvement of the Activate Fellowship from selection to exit. Reporting to the Fellowship Manager—Boston, the Fellowship Associate—Boston provides operational support to the Activate Boston site team and its fellows. They are responsible for scheduling and coordinating the Boston site’s fellowship calendar, including meetings with fellows, local events, and new fellow selection and onboarding. The Fellowship Associate is also responsible for local office management, tracking fellowship requirements, and assisting with data management and local event planning and execution.

Primary Responsibilities

  • Schedule fellow meetings, record meeting minutes, track meeting outcomes, and track fellow attendance and other fellowship requirements

  • Prepare and distribute regular updates and announcements to the fellows. 

  • Manage the local Boston office, including being the point person for visitors, mailing, shipping, supplies, equipment, and errands. 

  • Schedule and coordinate the Boston Fellow selection process, including booking interviews, maintaining backend databases, and recording selection meeting minutes. 

  • Support the Fellowship Manager in planning and executing local events, including weekly educational programming and hosting visitors. 

  • Support the Fellowship Team in managing fellow data and data systems. 

  • Contribute to the administration and operational execution of additional Boston site and Fellowship team initiatives.  

  • Contribute to and maintain standard operating procedures and work instructions for key fellowship activities.

The Ideal Candidate...

  • Has 1-3 years of experience with project management, data management, or administrative duties

  • Has excellent time management skills with a demonstrated ability to meet multiple deadlines on different timescales.

  • Has excellent attention to detail

  • Can balance day-to-day workload while shifting fluidly between independent and collaborative work. 

  • Takes the initiative to push a project forward or improve a process. 

  • Is comfortable with data management systems and spreadsheets

  • Has strong written and verbal communication skills

  • Has a positive attitude, sense of humor, and flexible working style

  • Believes in the power of science innovation to combat climate change and create a sustainable, resilient, equitable global economy.
