As Office Coordinator, you will play an integral part in our return-to-work strategy and execution as well as own other critical duties among the People team.  You are self-motivated, proactive, quick-thinking and flexible, ensuring the highest level of customer service in all that you do.  In this role you’ll juggle multiple and diverse responsibilities while maintaining a strong emphasis on organization and an unwavering attention to detail.  This position requires a can-do attitude, a knack for solving problems and the ability to thrive in a complex and fast paced environment.  Aspiration Values Action: We take initiative. What You'll Do

  • Weekly Office presence (Monday - Friday, 8:30am - 4:30pm; equivalent to 28 hours per week)
  • Coordinate and support the reorganization and re-opening of the office space; including but not limited to, office layout planning, furniture moves, office sanitation to meet COVID compliance and our internal health and safety requirements etc.
  • Maintain post-covid in-person procedures including collecting, manage and monitor proof of certain required documents, as defined in company health and safety policies
  • Receive, organize, scan and distributing mail to the appropriate departments and assist employees with outgoing mail and packages 
  • Organize on-site meetings/events including ensuring onsite technology and IT infrastructure (conference rooms, printer, internet, kitchen appliances, etc.) are in working order.
  • Clear and organize all conference rooms: wipe boards, remove trash, organize and replenish conference room materials including markers, post-its, erasers, etc.
  • Point of contact for Building Management correspondence, To-Do's, docs, requirements, updates, notifications, etc. and inform and update People team: Terri and Wendy
  • Fielding general phone or email inquiries, answering questions to the best of your ability and directing information to appropriate departments
  • Follow office workflow procedures to ensure maximum efficiency and identify areas for improvement.
  • Maintain personnel and employee files and records with effective filing systems and ensure records are maintained and current.
  • Organize and clean heavy office traffic areas throughout the day (kitchen, printer, mail, conference rooms, storage, front desk, and other team areas).
  • Inventory, stock, and order office supplies, kitchen supplies, snacks, and other supplies as needed.
  • Juggle multiple tasks at a time, prioritizing needs of the business and communicating expectations frequently and clearly
  • Provide other administrative support as necessary - including but not limited to providing employee reports and data, scheduling group meetings, maintaining calendars, doing research, creating reports, documenting new office procedures.

What You'll Bring

  • Previous office/administrative experience preferred
  • Proficiency in Mac Book, Google suite, and familiarity with Microsoft Office
  • Outstanding customer service skills; upbeat, pleasant, patient and energetic
  • Tech savvy and good with troubleshooting flows
  • Excellent interpersonal, organizational and communication skills, both written and verbal
  • Proven ability to multitask; project management experience a plus
  • Ability to thrive in a fast-paced environment
