SUMMARY

We are seeking an Accounts Payable Specialist to join our Boston office. The AP Specialist will report directly to the Manager of Accounts Payable and will play a key role in driving the AP process, while providing financial and administrative support to the accounting team. This individual will have the opportunity for future growth and development amongst a group of high achieving and fun professionals. We are seeking a driven, dedicated, and enthusiastic professional to join our dynamic team.

RESPONSIBILITIES

  • All activities in the accounts payable function, including but not limited to processing of vendor bills or check requests, seeking approvals, initiating payments (including wires, ACHs, and checks), maintaining vendor files, compiling check runs, recording AP related journal entries, sending payment remittances, and reconciling vendor statements.
  • Creating new vendors in NetSuite and taking responsibility for completeness and accuracy of records.
  • Resolving purchase order, contract, invoice or payment discrepancies and documentation, track change orders, execute any check void/ stop payment processes.
  • Suggesting improvements to processes to increase effectiveness and efficiency of accounts payable process and utilize NetSuite's reporting to automate processes.
  • Audit Expense reports in Concur ensuring expense reimbursement follows our T & E policy
  • Assisting with tracking construction costs and securing lien waivers.
  • Providing support for project financing draws.
  • Preparing intercompany journal entries and the month-end accrual entry to ensure invoices are accrued properly at month end and year-end.
  • Annual 1099 preparation, filing and reporting.
  • Ad-hoc projects as requested by management.

QUALIFICATIONS

Key qualifications are as follow:

  • Prior accounts payable experience.
  • Experience with NetSuite a plus but not required.
  • Bachelor's Degree in Business Administration or Accounting preferred but not required.
  • Ability to communicate effectively with team members across the organization, and vendors outside the organization.
  • Strict attention to detail.
  • Willing and able to adapt to a high energy, fast paced environment.
  • Highly motivated, proactive, and efficient.
  • Robust analytical, organizational and problem-solving skills.
  • Strong Microsoft Office and overall computer skills.
  • Enthusiastic and eager to learn and grow.
