Job Description

Job Overview
The Technical Coordinator for the Responsible Sourcing Strategies program in the Food & Agriculture Division works with multiple projects including client-specific responsible and sustainable sourcing programs as well as other programs under development. This position primarily supports the development of a global dairy sustainability standard that requires the organization of resources and information from across the agricultural sector, including aspects related to social, animal welfare, and environmental-related responsible practices.

Responsibilities

The primary responsibilities of the Technical Coordinator include support in resource organization, document and procedure development, managing administrative tasks related to communications with clients and verification organizations, expense reports, invoices, and, when requested, audit scheduling, trip planning, review of reports and other audit-related documents. The Technical Coordinator is also responsible for documentation and some of its review of all the aforementioned activities on an ongoing basis in the SCS database. This position reports to the Operations Manager, works closely with the Technical Associate, and supports the Director.

Essential Duties and Responsibilities

Communications

  • Manage daily email and telephone/Skype/Microsoft Teams communications in English with:
  • Auditors
  • Clients
  • Verification Organizations
  • SCS program personnel and contractors
  • Attend meetings virtually over Zoom, Microsoft Teams, etc., and potentially in-person internally with team members, clients and collaborating partners

 

Audit Coordination and Planning

  • Ensure consistent flow of audit projects, support and field observation.
  • Prepare audit plans and related audit documents and forms
  • Track and manage audit project milestones and deadlines
  • Prepare work orders and invoices for clients
  • Perform technical review of audit reports
  • Manage auditor schedules, workloads and travel budgets
  • Conduct review of audit reports completed by staff auditors and regionally based auditors
  • Apply professional judgement on the quality of audit reports
  • Plan audits and trip itineraries for Sustainability staff and auditors
  • Carry out travel booking and logistical arrangements, as needed
  • Review expense reports for Sustainability staff and Regional Auditors

 

Operations

  • Ensure program compliance with SCS quality system
  • Maintain new, existing, and archived program files in accordance with program requirements
  • Support Associates to develop program guidance updates, program documents, and letters as needed
  • Support Associates to develop training programs and related materials for third-party auditing organizations
  • Edit program and training materials, reports, communication and report templates
  • Research third-party auditing initiatives and responsible sourcing programs and prepare summary reports in support of Sustainability staff
  • Conduct desk-based audits as required
  • Additional tasks as requested by the Director and Manager

 

Qualifications

  • Fluency in English required.
  • Experience in agricultural or food production systems; dairy-related work or study experience a plus, particularly relating to animal welfare or environmental implications of the industry
  • 1+ years’ experience in project management or administration
  • Excellent writing, communication, and customer service skills
  • Initiative and ability to work independently and use professional judgement; responsive and adaptive personality
  • Ability to complete time-sensitive projects and to provide realistic deadlines
  • Excellent organizational skills and strong attention to detail required
  • Strong time-management and organizational skills; ability to prioritize work and meet deadlines
  • Experience with Microsoft Office including Microsoft Word and Excel, Outlook and Power Point
  • Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered. Proof of vaccination required. Medical and religious accommodations will also be considered.

 

Education and Experience

  • Bachelors’ Degree in a related field (Environmental science, Sustainability, Agricultural or Food Systems, etc.) or equivalent work experience, graduate education a plus
  • Scope-specific work or study experience, and/or applied experience in agricultural or food production systems
  • Experience with auditing schemes and processes is a plus
  • Understanding of food labeling programs and third-party certification initiatives preferred

 

Physical Requirements

This is an office-based job. Sit 6+ hours per day. Keyboarding 6+ hours per day. Must be able to speak and listen to employees and vendors in person and via online video conference call applications. Observing and support audits may require international travel and extensive hours in the field. Must be able to walk and hike on rugged terrain and work in varying climates and outdoor environments.
