Administrative Assistant

Major Function 

The Administrative Assistant performs a variety of general and administrative office tasks, enabling leaders and their teams to function effectively and efficiently. Tasks include heavy calendar management, coordinating travel, creating and collating documents and briefing materials, meeting coordination and liaising with internal colleagues and external stakeholders.

 Key Responsibilities:

  • Calendar management, requiring interaction with internal and external colleagues to schedule a variety of meetings.
  • Handle incoming and outgoing electronic and phone communications on behalf of leadership.
  • Support travel coordination by making travel arrangements and booking reservations as needed.
  • Create well-organized, grammatically correct memos, presentations, and reports for distribution to members of various departments.
  • Assist with special events planning.
  • Use various software applications such as spreadsheets, databases, and project tracking tools to assemble, manipulate, and/or format data and/or reports.
  • Maintain, organize and order general office supplies, including paper, pens, ink/toner, etc., to ensure teams have everything they need to succeed.
  • Greet and sign in visitors, guide them to the appropriate location and make them feel welcome.
  • Maintain the highest level of confidentiality.
  • Exercise administrative judgment.
  • Perform other duties as assigned.

Required Skills/Abilities:

  • Excellent interpersonal and verbal communication skills requiring the courtesy, tact, and diplomacy necessary to effectively communicate with staff, callers, visitors, and other stakeholders
  • Excellent writing, proofreading, and editing skills
  • Superb organization and follow-through skills.
  • Demonstrated success as a proficient multitasker with impeccable attention to detail.
  • Takes initiative, able to work well independently; demonstrates good judgment.
  • Passionate about the Earth Fund’s mission.
  • Ability to work with staff across levels and build relationships with a variety of stakeholders.
  • Proficient in IT programs and tools such as Microsoft Office suite, especially Word, Excel, and Power Point, as well as SharePoint, Teams, Zoom, CRM and other collaboration platforms.
  • Ability to work with staff across levels and build relationships with a variety of stakeholders.
  • Ability to effectively prioritize and execute many activities at once.

Education and Experience:

  • A HS diploma is required, an associate’s degree or equivalent experience is preferred
  • Two or more years of experience as an administrative assistant supporting leaders and their teams is also required

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • This position is based in Washington, D.C.
  • May require extended hours for urgent issues or to meet established deadlines.
  • May undertake limited domestic and/or international trave

Salary Range:  $70,000-$85,000
