Job Description
Purpose of the Position: Providing administrative and secretarial support to the Management Board, while managing day-to-day office operations to ensure an efficient and productive work environment.
Key Responsibilities:
- Calendar Management: Provide extensive calendar management for the local team, including scheduling and preparing meeting agendas.
- Office Operations: Manage daily office operations, including answering phone calls, responding to emails, and greeting visitors.
- Event Coordination: Coordinate travel arrangements, office events, and meetings, including scheduling, logistics, and catering.
- Office Maintenance: Maintain office equipment and supplies, ensuring everything is fully functional and stocked.
- Budget Management: Collaborate with other departments to maintain the office budget and manage expenses.
- Vendor Management: Manage relationships with vendors, service providers, and landlords.
- Expense Reconciliation: Reconcile expense reports and manage financial documentation.
- Travel Arrangements: Organize and prepare international travel itineraries, including visas and other necessary arrangements.
