About the role
As a Facilities Coordinator, you will play a key role in supporting the global facilities, real estate, environmental, health, and safety teams. You will be responsible for managing vendor relationships, coordinating administrative tasks, and ensuring smooth operational activities across the facilities. You will act as a liaison between various internal departments, including Purchasing, Accounts Payable, and external vendors, to facilitate billing processes and ensure accurate financial transactions. This role will require close collaboration with internal teams to maintain effective communication and ensure the organization’s facilities run efficiently.
What you will do
- Vendor Management: Manage global vendor lists, handle PR/PO requests, and process invoices in a timely and accurate manner. Act as the primary point of contact between vendors, Purchasing, and Accounts Payable teams to resolve billing issues.
- Administrative Support: Prepare necessary documentation, including letters, presentations, and reports, to support various facilities-related activities. Maintain and update data in the Real Estate, Facilities, Environmental, and Health and Safety SharePoint folders.
- Operational Coordination: Assist with day-to-day operational tasks, ensuring smooth communication and collaboration between teams. Support the Facilities and Health & Safety teams in executing key initiatives.
- Process Improvement: Identify opportunities for process optimization and collaborate with internal teams to execute projects aimed at improving organizational efficiency and service delivery.
- General Support: Provide ongoing support for global facilities, environmental, and health and safety teams by assisting with administrative tasks and project management as needed.
What you bring
- Education: Associate’s degree preferred.
- Experience: A minimum of 3 years of experience in customer service-driven roles or facilities coordination.
- Skills: Strong proficiency in Microsoft Office (Excel expertise) and Oracle applications.
- Communication: Excellent verbal and written communication skills with the ability to interact effectively with team members, senior management, and external stakeholders.
- Attention to Detail: High level of organization and attention to detail, with the ability to handle multiple tasks simultaneously and meet deadlines.
- Team Player: Strong interpersonal skills with a flexible, adaptable, and dependable approach to teamwork.
- Self-Motivation: Ability to work independently with minimal supervision, while actively identifying opportunities for process improvement.
- Positive Attitude: A proactive, positive, and energetic attitude with the willingness to take initiative and contribute to the team’s success.
