Role Overview

The on-site Executive Assistant to the Chief Executive Officer in the Energy & Commodities division is essential for maintaining the efficiency of the executive office. This role involves managing complex schedules, coordinating travel, and facilitating communication with key clients and investors. Daily tasks include preparing for high-stakes meetings, monitoring industry news for relevant market insights, and overseeing office operations to ensure compliance with regulatory standards. The Executive Assistant also supports various projects that drive organizational growth, adapting quickly to the dynamic needs of the financial services sector.

Role Responsibilities

  • Provide high-level administrative support, managing complex calendars, coordinating travel, and prioritizing inquiries to enhance productivity.

  • Serve as the primary liaison for internal and external stakeholders, ensuring timely and clear communication.

  • Prepare and review correspondence, reports, and presentations, maintaining accuracy and professionalism.

  • Coordinate executive team meetings and high-stakes client or investor interactions, handling logistics, agendas, and follow-up actions.

  • Oversee general office management, ensuring smooth daily operations, managing vendor relationships, and liaising with building management.

  • Assist with budget tracking and expense reporting, supporting compliance and efficient financial practices.

  • Monitor relevant industry news, regulatory updates, and market trends to stay informed.

  • Manage confidential files and databases with discretion, ensuring secure organization and easy retrieval.

  • Facilitate collaboration with cross-functional teams and other executive assistants to support company-wide initiatives.

  • Support ad hoc projects and adapt to changing priorities in a fast-paced, regulated environment.

Experience / Competences

Essential

  • Proven experience in providing high-level administrative support to C-suite executives, with a strong ability to manage complex calendars and coordinate travel.

  • Excellent communication skills, both written and verbal, enabling effective interaction with key clients, investors, and stakeholders.

  • Strong time management and organizational skills, with a proven ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.

  • Ability to handle confidential information with discretion, ensuring compliance with relevant regulations and internal policies.

  • Strong problem-solving abilities, capable of anticipating needs and proactively addressing issues before they escalate.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools, with the ability to learn new software quickly to enhance operational efficiency.

Desired

  • Previous experience in investor/client coordination, with a track record of managing relationships and facilitating high-level meetings.

  • Familiarity with office operations oversight, including vendor management and facility needs, particularly in a dynamic office environment.

  • In-depth knowledge of the financial services industry, particularly within the Energy & Commodities sector, including familiarity with market movements and regulatory compliance.

Salary $90,000-$100,000
