We are seeking an agile, highly organized individual to support, manage, and facilitate the needs of our Finance, Legal and Human Resources leadership. This person should thrive in a fast-paced role, juggling multiple priorities simultaneously. With a passion for helping others succeed, the Executive Assistant is an anchor for the organization operating with a high level of autonomy and impact behind the scenes to push business forward.  


  • Operates in the future, working closely to remain apprised of schedules and upcoming commitments.
  • High focus on calendar management including preparation of objectives for meeting invites, research into participants, and materials.
  • Manage and draft correspondence by screening emails, flagging, and tracking follow ups. 
  • Liaise with team members to handle requests and queries to help CFO, Legal and CHRO process and prioritize key actions.
  • Become familiar with organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
  • Prepare or review letters, reports, presentations and other documents.
  • Process and review of monthly/ yearly expenses and expense reports.
  • Assists in planning any domestic or international travel as needed. 
  • Provides back up coverage support for other administrative roles and reception desk if coverage is needed due to paid time off schedule.
  • Assist and participates in ad hoc projects, as needed, building cross-functional relationships with key partners in other departments.


  • Minimum of 6- 10 years’ experience supporting C suite level management in an administrative capacity. Paralegal certificate or legal experience is a plus
  • Proven track record handling administrative duties and functions requiring strict confidentiality, initiative, and sound decision-making
  • Expert proficiency in MS Office (MS Office, MS Excel, and MS PowerPoint, in particular)
  • Able to understand assignments and complete them with little to no follow up from assigned leaders
  • Track record in building efficiency and effective responsiveness into existing operations
  • Experienced calendar manager who can make informed prioritization decisions
  • Ability to troubleshoot technology issues in partnership with IT as needed
  • Proven success in creating and maintaining filing systems and databases
  • Critical thinker with meticulous attention to detail
  • Able to be organized and innovative in ambiguous situations
  • Resourceful and able to work collaboratively
  • Excellent written and verbal skills with a strong sense of professionalism
  • High level of integrity; ability to handle confidential and sensitive information with discretion
  • A professional who is comfortable working cross-functionally across all levels
  • Flexible in style and able to able to adapt to situations in a fast paced, dynamic environment
