Role Overview

This role is part of the Corporate Services Team, responsible for coordinating and managing Real Estate projects, vendor relationships, and operational tasks. A typical day involves working with external contractors, monitoring expenses, maintaining accurate records, and ensuring seamless facility operations across multiple locations. This position is essential in optimizing office efficiency, ensuring contract compliance, and supporting financial tracking and administrative processes.

Role Responsibilities

  • Work with technology and HR teams to plan and coordinate the setup for new hires, and internal relocations.

  • Perform daily walkthroughs of the office and coordinate with the team to ensure a clean and orderly facility.

  • Spearhead the strategic planning and optimizations of office spaces and locations in partnership with key stakeholders.

  • Assist in real estate development and project management by defining project scope, budgets, and schedules.

  • Track expenses, manage vendor relationships, and liaise between Procurement and Accounts Payable for facilities-related invoices, including rent payments.

  • Maintain accurate and up-to-date records for leases, contracts, and certificates of insurance.

  • Manage Access Control Lists (ACLs), maintaining rules, evaluating data packets, and controlling access.

  • Coordinate office maintenance and repairs to ensure a safe and functional work environment.

  • Manage vendor relationships for office supplies, cleaning services, and other essential services.

  • Oversee health and safety protocols to ensure compliance with regulations and promote a safe workplace.

  • Collaborate with the events team, offering support as needed to ensure seamless execution of all events.

  • Implement and maintain office policies and procedures to improve efficiency and productivity.

Experience / Competences

Essential

  • Strong numerical and analytical skills.

  • Excellent organizational skills with the ability to manage multiple tasks effectively.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Strong administrative and record-keeping skills.

  • Ability to build and maintain relationships across all levels of the business and with external vendors.

  • High attention to detail and ability to prioritize under deadlines.

Desired

  • Experience with cost control and budget management in a facilities or real estate environment.

  • Familiarity with Oracle or similar financial systems for invoicing and expense tracking.

  • Knowledge of Building Management Systems (BMS) and facilities operations.

  • Previous experience managing contracts, leases, and vendor relationships.

  • Background in project management or real estate development.

  • Bachelor’s degree preferred.
