The Junior Mobility Specialist will provide comprehensive administrative support in the field of mobility, assist with immigration and visa processes, and organize transport and accommodation for employees. This role requires meticulous attention to detail, strong organizational skills, and the ability to communicate effectively with various stakeholders.

Task and accountabilities:

Administrative Support:

  • Provide administrative support in the field of mobility.

  • Prepare reports and regularly update various databases and trackers.

  • Immigration and Visa Processes:

  • Verify received documentation for completeness and correctness.

  • Perform additional activities related to documentation, such as sending for translation and apostille.

  • Make copies of visas and other documents, updating the database on an ongoing basis.

Communication and Coordination:

  • Maintain ongoing contact with the HR Investment team and local HR to summarize the status of the immigration process.

  • Prepare, monitor, and verify required data to assess the progress of visa processes and secondments, creating tables, summaries, and reports.

Transport and Accommodation Support:

  • Support the organization of transport and accommodation in the host location.

  • Update data entry and transfer tracking.

  • Assist in organizing employee travel, including airport pick-up, hotel reservation confirmation, and checking flight bookings.

  • Book flights to selected locations as a back-up for employees when their designated travel manager is unavailable.

Annual Tax  Settlements:

  • Support in collecting documentation needed to prepare annual settlements.

Qualifications:

  • At least one year of experience in a similar role

  • Proficient in PC skills, with a strong emphasis on MS Excel, PowerPoint, and SAP

  • English proficiency at B2 level

  • Strong organizational and administrative skills

  • Attention to detail and accuracy

  • Excellent written and verbal communication skills

  • Ability to work independently and as part of a team

  • Effective multitasking and prioritization abilities

  • Hands-on and dedicated approach

  • Ability to handle sensitive and confidential information

  • Strong interpersonal skills
