Event Operations Associate, South Asia (Delhi, India – Remote)
The Institute for Energy Economics and Financial Analysis (IEEFA) is seeking an Operations Associate in India. This role will focus on the supporting and implementing operations functions, including events planning, for the South Asia based IEEFA team. This position will report to the Australia-based Operations Manager and work closely with the US-based Administration team to ensure consistency of organizational processes and facilitate communication across regions. The ideal candidate will be located in Delhi, India.
We are looking for a professional with experience in events planning, project management, procurement, organizational recordkeeping and stakeholder communications. They would be able to multi-task, collaborate, set priorities and meet deadlines with limited direction while working remotely. They must also possess a commitment to IEEFA’s mission to accelerate the transition to a diverse, sustainable and profitable energy economy.
IEEFA is a rapidly-growing NGO/not-for-profit that conducts research and analysis on financial and economic issues related to energy markets, trends and policies. Headquartered in the United States, IEEFA has a team of analysts and communications personnel located across the globe. Our dynamic India-based team works collaboratively with IEEFA internationally and in the region across different research areas including the coal, gas, and electricity markets.

Roles and Responsibilities
• Provide high level operational support to the Operations Manager and the Director, South Asia.
• Assist the Operations team with planning and on-site coordination of global conferences, retreats and cross-regional events, using project management tools for effective collaboration.
• Plan and execute regional team meeting and stakeholder events in South Asia, managing logistics, vendors and on-site coordination.
• Assist in the evaluation of the success of each event and identify areas for improvement.
• Manage vendor relationships, ensuring timely delivery of services for events and travel, and ordering necessary promotional materials, office supplies and IT equipment for remote team members.
• Work with the Operations and Finance teams to track events and procurement budgets and assign costs to appropriate grants.
• Manage travel arrangements for IEEFA team members and speakers, liaising with travelers, global travel agents and service providers to ensure responsive and efficient travel support.
• Assist with tracking grant documentation submissions and funder communication.
• Maintain an internal record of stakeholder events and meetings, including event collateral such as agendas, photos, and participants lists.
• Maintain IEEFA’s master calendar and assist with scheduling meetings internally and with external stakeholders.
• Receive and send communications by phone, e-mail and messaging platforms, field inquiries and direct information requests to the appropriate contact person.
• Other duties as assigned.
Required Qualifications
• 1-3 years’ experience in event planning, administrative support or coordination
• A bachelor’s degree in business administration or appropriate and relevant experience in lieu of the degree
• Strong English language written and verbal communications skills
• Experience maintaining digital calendars and using digital scheduling platforms
• Highly organized; attention to detail; able to check work-products for accuracy
• Strong project management skills, and ability to set priorities and meet deadlines with limited direction while working remotely
• High degree of technological proficiency (ClickUp, Box, Google Drive, etc) and demonstrated ability to learn new software and applications
• Proficient in using the Microsoft Office Suite (Word, Excel and PowerPoint) and Zoom
• Team oriented; able to interact professionally with a diverse population of colleagues and stakeholders

Compensation and Benefits
Full-time 12-month fixed-term employment contract with the option of extension by mutual agreement and a market competitive remuneration. Pay rates are based on education, skill, experience level and internal equity.
Work Schedule
Full time, 40 hours/week. General hours are Monday-Friday 9am-5pm, however IEEFA is an international organization, so some late evening, early morning and weekend work will be required due to time zone differences and for on-site event coordination.
Travel
Domestic and International travel will be required to participate in conferences, meetings, and team retreats.
Physical Demand and Work Environment.
Must be able to work for prolonged periods at a computer. Computer work can involve repetitive motion, eyestrain, back, and neck strain.
