As an Operations Construction Coordinator at Prologis, you’ll play a key role in supporting our construction and operations teams by managing contracts, processing invoices, maintaining project documentation, and ensuring seamless communication between internal and external stakeholders.

What does that look like:
- Draft and edit all relevant project information, process for party signatures, set-up Purchase Orders and enter all contracts, addendums, and change orders for make-ready’s, tenant improvements and major capital construction projects into PeopleSoft, Forecast Manager and the Project Tracker, respectively into further relevant systems.
- Review and approve invoices in PeopleSoft as a first approver.
- Review and maintain contractor insurance files and solicit updates as required before payment.
- Ensure proper addressing and coding of invoices and furthermore that costs are in-line with the corresponding contract – including communicating with the contractor, subcontractor, vendors and/or consultants to understand appropriate costing and coordinating with the OCM team.
- Prepare reports, monthly accruals, and budget-to-actual based on contracted costs.
- Maintain the project filing directory on Box and DRS, ensuring contracts, invoices, drawings, and all other required documents are being uploaded and maintained.
- Responsible for data quality in BUD and other systems
- Act as primary point of contact for projects on accounting processes and procedures. Educate contractors on Prologis accounting process requirements. Set-up Vendors, check KYC specifications and support the vendors within data entry process.
- Coordinate customer notifications with Real Estate & Customer Experience Teams.
- Handle all incoming calls, route calls to the appropriate person or department, take messages and answer general inquiries.
- Support/preparation for/of presentations as part of internal and external projects.
- Greet visitors to the office.
- Other duties as assigned
What's needed to do that:
- 2+ years of experience in an administrative or related role
- Fluency in German and English (written and spoken)
- Ability to follow verbal and written instructions accurately
- Proactive, assertive, and organized approach to tasks
- Strong collaboration and communication skills with internal teams, customers, and suppliers
- Proficiency in Microsoft Office Suite and web-based applications
- Ability to manage multiple tasks and deadlines efficiently
- Discretion and professionalism in handling sensitive information
