About the role:
We're seeking a skilled Office Coordinator professional to support our Houston, Texas office. You'll provide strong and dependable support to our office by maintaining and developing procedures, communication, and visitor’s protocols. Your contributions will not only enhance our organizational efficiency but also foster a positive and enjoyable work environment for our team.

 

This role involves managing the front desk, greeting visitors, and providing administrative support. The ideal candidate will possess excellent communication skills, a friendly demeanour, and the ability to multitask. As the first point of contact for our company, the Receptionist / Office Coordinator plays a crucial role in creating a positive impression and delivering exceptional service to our stakeholders and clients.

 

This position requires onsite work, Monday through Friday, from 8 AM to 5 PM.

 

Location: 11710 N. Gessner Rd, Houston, TX.

 

Responsibilities for this position may include but are not limited to:

 

  • Greeting and welcoming visitors in a professional and courteous manner.
  • Maintain visitor management systems to notify relevant employees when visitors arrive, issuing visitor identification badges.
  • Answer employee & visitor questions, calls, and emails, and provide them with the relevant information and direct them appropriately.
  • Conduct orientation of employees, visitors and contractors regarding safety and environmental practices.
  • Continually monitor site security and telecommunications system operations & functions.
  • Handling inquiries and providing accurate information about the company and its services.
  • Maintain visitor, employee, and department directories and logs.
  • Organize the reception & common areas while complying with office procedures, rules, and regulations.
  • Coordinating necessary setup of internal & external meetings, events including catering to ensure their smooth execution.
  • Promote employee morale through effective engagement and support initiatives.
  • Ensure the ordering and monitoring of all facility consumables inventory as required. This task is crucial for the smooth operation of our facilities and to prevent any disruptions in our services.
  • Sign for deliveries and ensure all mail and packages are distributed accordingly as well as assist with creating shipping orders.
  • Account manager, responsible for regional cell phone management and distribution. This includes overseeing necessary communications regarding any changes to this service.
  • Provide occasional tours of the office
  • Manage local travel policy and communications
  • Support local administrative and senior management when required.

 

Required Qualifications

  • High school diploma or general education degree (GED).
  • 2 years’ experience in a similar role.
  • Fluency in English both written and verbal
  • Must be located within commutable distance of our facility, within (40) Miles
  • Strong communication and organizational skills
  • High level of professionalism and courtesy
  • Excellent time-management skills
  • Works well with others and can multitask
  • Proficient in Microsoft Office software
  • Must be able to demonstrate great attention to detail.
