Job Description
The Executive Administrative Assistant will provide high-level administrative support to the Executive Administration Director and SmartRent's senior executives.
Responsibilities
- Provide high-level administrative support and assistance to the Executive Administration Director and/or other assigned leadership staff.
- Act as the primary liaison between internal and external contacts when coordinating meetings and events.
- Partner closely with each executive to ensure they are well informed of upcoming commitments and responsibilities, and following up as needed.
- Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
- Respond to and resolve administrative inquiries and questions.
- Manage all activities including calendar, travel, expenses, events, including international and domestic travel, accommodations, and trip logistics.
- Communicate professionally with senior executives, investors, and clients.
- Be flexible and move from strategic to tactical tasks as requirements change.
- Build, update, manage, coordinate and edit PowerPoint presentations needed to support the executives and/or their teams.
- Provide a bridge for smooth communication between the CEO's office and internal departments and external stakeholders demonstrating leadership to maintain credibility, trust, and support with senior staff.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
- Plans, coordinates, and ensures the CEO's schedule is followed and respected.
- Prepare agendas and schedules for meetings.
- Perform other duties as required.
Required Qualifications
- 5-8 years of experience as an executive assistant or directly supporting C-level staff.
- Ability to prioritize executives’ priorities; able to manage multiple projects simultaneously.
- Time management and ability to meet deadlines.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Ability to work independently.
- Problem-solving and decision-making skills.
Preferred Qualifications
- Bachelor’s degree and 6 years of direct experience in a fortune 5000 tech company.
- Proven experience of reporting directly to the CEO or SVP/EVP for mid-size companies.
- Proven experience as “gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO and other executives’ time.
- Proven experience of planning, coordinating, and ensuring the CEO and other executives’ schedules were followed and respected.
