Position Summary
The Fellowship Associate provides operational support to the Activate New York team and fellows. This person is responsible for scheduling and coordinating the fellowship calendar for the Activate New York Community, including meetings with fellows, local events, and new fellow selection and onboarding. They also manage the Activate New York office, tracking fellowship requirements, and assisting with data management and local event planning and execution.

The Fellowship team is responsible for the design, execution, evaluation, and improvement of the Activate Fellowship from selection to exit. The Fellowship Associate reports to the Fellowship Manager, Activate New York.

Primary Responsibilities

  • Schedule fellow meetings, record meeting minutes, track meeting outcomes, and track fellow attendance and other fellowship requirements.

  • Prepare and distribute regular updates and announcements to the fellows.

  • Manage the Activate New York office, serving as point person for visitors, mailing, shipping, supplies, equipment, and errands.

  • Schedule and coordinate the fellow selection process for New York applicants, including booking interviews, maintaining backend databases, and recording selection meeting minutes.

  • Support the Fellowship Manager in planning and executing local events including weekly educational programming and hosting visitors. This may also include community-driven events in collaboration with other organizations.

  • Support the Fellowship Team in managing fellow data and data systems.

  • Contribute to the administration and operational execution of additional fellow community and fellowship team initiatives.

  • Contribute to and maintain standard operating procedures and work instructions for key fellowship activities.

  • Coordinate events with ecosystem partners such as universities, incubators, accelerators, and student groups.

The Ideal Candidate

  • Has 1-3 years of experience with project management, data management, or administrative duties.

  • Has excellent time management skills with a demonstrated ability to meet multiple deadlines on different timescales.

  • Has excellent attention to detail.

  • Can balance day-to-day workload while shifting fluidly between independent and collaborative work.

  • Takes the initiative to push a project forward or improve a process.

  • Is comfortable with data management systems and spreadsheets.

  • Has strong written and verbal communication skills.

  • Has a positive attitude, sense of humor, and flexible working style.

  • Is a passionate and mission-driven individual.

  • Has some knowledge about climate change and solutions to the climate crisis.

  • Believes in the power of science innovation to combat climate change and create a sustainable, resilient, equitable global economy.

About the Role
