The RoleHeirloom is looking for a skilled recruiting operator to play a key role in our end-to-end hiring effort. You will be responsible for the administrative and operational details of our interview process. Our ideal fit will be a highly organized, detail oriented, self-driven, and personable individual with experience supporting recruiting efforts (ideally in a fast-paced startup). Please note we are currently only interviewing candidates with previous experience in a coordinator or operations role.
This is a full time role that will be based out of our headquarters in San Francisco, CA. 


What you will do

  • High-volume and complex scheduling requests including: phone screens, virtual and in-person interview schedules, pre-interview syncs, hiring debriefs, and intake meetings
  • Coordinate all candidate travel (domestic and international) and process expense reimbursements
  • Provide updates to candidates regarding their applicant/interview status
  • Partner with Executive Assistants and Recruiters to ensure an exceptional candidate and client experience
  • Develop strong candidate and stakeholder relationships (Hiring Managers, Recruiting, etc) and maintain effective communication channels and an awesome candidate experience
  • Maintain a deep level of confidentiality to coordinate high-volume interview requests
  • Using our applicant tracking system ("ATS") and relevant recruiting processes to keep organized and help keep our busy team on track, and to maintain data integrity within systems to ensure accurate data tracking and reporting
  • Assist with special projects as needed and provide general ongoing support to the team
  • Create and support initiatives, programs, and training promoting diversity, equity, and inclusion (DEI) in Heirloom’s end-to-end hiring process. 

What you will bring

  • 2+ years of experience functioning in a coordination, assistant / admin, or recruiting support role performing key tasks including heavy calendaring, travel coordination and extensive candidate interface
  • Experience with Lever and / or other ATS systems
  • Advanced interpersonal and communication skills (both verbal and written).
  • Independent thinker with strong problem-solving skills that can navigate effectively in ambiguity
  • Impeccable attention to detail, the ability to maintain a high degree of professionalism and a calm demeanor 
  • An ability to effectively prioritize, juggle, track and execute on multiple concurrent tasks without letting things fall through the cracks
  • Able to take initiative and have the confidence to keep interviews running on time, persuade people to get their feedback in a timely manner, and nudge the recruiters to get back to their candidates when necessary
  • Demonstrate excellent judgment, discretion and sensitivity
  • Advanced skills with Google Enterprise Apps (google calendar, Gmail, Docs & Presentations)
  • A passion for fighting climate change
