This role is crucial in maintaining a smooth-running, efficient, and pleasant work environment for all employees in our new office in São José dos Campos/SP, and also includes the support of all Archer Brazil working remotely. The ideal candidate will be responsible for various administrative and facilities-related tasks, ensuring our office operates seamlessly daily, and will be responsible to support and coordinate activities related to delivery of workplace experience for our employees in Brazil. Key Responsibilities:Provides coordination and administrative support for delivery of Workplace Services. Services include, but are not limited to:Event Planning and Support <ul><li>Conference &amp; Meeting Room Management</li><li>Meeting &amp; Event Management</li><li>Office Supply Management</li><li>Furniture Management</li><li>Space Reset</li><li>Employee Parking</li><li>Visitor Management Workplace Onboarding</li></ul>Reception and Mail Management <ul><li>Manage incoming and outgoing mail and packages </li><li>Sign for and distribute deliveries to the correct recipients </li><li>Greet visitors and direct them to the appropriate personnel or meeting rooms</li></ul>Facilities Management <ul><li>Lead communication for needed maintenance with landlord</li><li>Manage vendors providing services to the facility. </li><li>Oversee office maintenance and cleanliness </li><li>Coordinate with cleaning staff and external maintenance providers </li><li>Report and follow up on any facilities issues or repairs needed </li><li>Organize office supplies inventory and place orders as necessary</li></ul>Utilities and Services <ul><li>Ensure all office utilities are functioning properly (e.g., electricity, heating, air conditioning) </li><li>Manage and replenish office refreshments (e.g., water, coffee, snacks) </li><li>Coordinate with vendors for regular deliveries and services</li></ul>Administrative &amp; Finance Support<ul><li>Assist with basic administrative tasks as needed </li><li>Ensures all billings for business services are invoiced and billed as required</li><li>Coordinate IT setup (buy and mail) for new hires and leavers </li><li>Manage conference room bookings and prepare meeting rooms </li><li>Coordinate office events and gatherings </li></ul>Employee Experience<ul><li>Coordinate office events and gathering</li><li>Developing a great employee experience, implementing &amp; supporting activities such as  shipping swags, gifts, etc.</li></ul>Health and Safety <ul><li>Ensure compliance with health and safety regulations </li><li>Assist in implementing and maintaining safety protocols </li></ul>Communication <ul><li>Act as a point of contact for office-related queries </li><li>Liaise between employees and external service providers </li><li>Communicate effectively with all levels of staff regarding office matters</li></ul>Qualifications:<ul><li>High school diploma required; Associate's or Bachelor's degree preferred </li><li>Fluence in both English and Portuguese</li><li>Previous experience in office administration or facilities management is a plus </li><li>Excellent organizational and time management skills </li><li>Strong attention to detail </li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) </li><li>Exceptional communication skills, both verbal and written </li><li>Ability to multitask and prioritize in a fast-paced environment </li><li>Problem-solving skills and a proactive attitude </li><li>Customer service-oriented mindset</li></ul>Archer is committed to working with and providing reasonable accommodations to job applicants with physical or mental disabilities, and those with sincerely held religious beliefs.
