Based in Sydney, reporting to the Senior Project Manager, the Repair &amp; Maintenance Coordinator will oversee the coordination and execution of all repair and maintenance works required across the national network of return points.Working closely with the Service Centre and Operations Teams acting as the dispatch, this role will review, scope and finalise works to then prioritise, schedule and book all reported issues received across our Teams.The Repair and Maintenance Coordinator would remain in close communication with the Small Formats Team, to identify possible economies of scale from the contractor work across the Site Implementation and Support Team.A key element of this role is stakeholder management, including, liaising with vendors, contractors, and internal teams. Responsibilities include aspects of project management, such as scoping of minor works, budget tracking and contractor &amp; supplier management. Specific objectives within this position are program management and coordinating program of works, resourcing &amp; trades, progress reporting and troubleshooting.Some of the duties you may perform:<ul><li>Maintain an up-to-date log of repair and maintenance activities, including job status, contractor performance, and key issues, to support ongoing cost &amp; performance reviews.</li><li>Review, scope and finalise works to then prioritise, schedule and book all reported issues received across our teams.</li><li>Assess safety risks of issues raised, and co-ordinate the closure of sites for high-risk items, whilst escalating to management; Prioritise works and overall program accordingly</li><li>Ensure that any issues arising from hazards reported in DoneSafe (or subsequent systems) are fully resolved and formally closed.</li><li>Review and implement work order documentation processes, ensuring consistency across scopes of work, contractor submissions, and close-out reporting.</li><li>Contractor Management – obtaining all documentation required by the business and stakeholders for engagement with contractors.</li><li>Obtain any onsite induction requirements from Landlords/Centre Management and ensure these are obtained from all contractors ahead of works starting.</li><li>Collation of any site documentation including, but not limited to site plans, scope of works briefs, safety documents (eg SWMS, insurances, site work documentation, inductions) etc.</li><li>Coordination of updates to the Senior Project Manager and other internal teams.</li><li>Ensuring software/tools are kept up to date to provide transparency and regular communications with other teams.</li><li>Contribute to continuous improvement initiatives by identifying patterns in recurring issues, proposing preventative maintenance solutions, and providing feedback into process updates or vendor evaluations.</li><li>Assist in solving technical and non-technical problems.</li><li>Perform additional tasks as reasonably requested by Senior Project Manager or CS&amp;S Director</li><li>Travel as required.</li><li>Ensure activities are carried out in accordance with the company’s safety, quality control &amp; environmental management processes.</li></ul>
