The Associate Office Manager provides a wide variety of professional and office administrative support to team members to ensure the efficient and effective functioning of the business unit office. This person has a strong ability to work independently and make decisions. What You'll Do General Office Administration: Provide routine administrative support to ensure that business unit operations are maintained in an effective, up-to-date, and accurate manner<ul><li>Responds to routine inquiries</li><li>Receives daily mail and deliveries; opens, sorts and distributes department mail and  other materials</li><li>Maintains records for expense reports and other documents</li><li>Maintains office files and orders office supplies; coordinates repairs to office equipment</li><li>Maintains temporary badges for guests, vendors and employees</li><li>Ensures all guests and vendors are greeted, recorded into the visitor’s log, and have signed a non-disclosure agreement</li><li>Liaison between Workvia offices</li></ul> Food and Beverage Management: Oversee and ensure that food and beverage options are available to employees in a clean and friendly environment throughout the workday<ul><li>Purchases or coordinates with vendors for the delivery and service of a variety of food and beverage items. </li><li>Ensures that the food and beverage area remains well-stocked throughout the work day</li><li>Ensures that the kitchen and employee break area are clean and meet appropriate health requirements</li><li>Helps plan and coordinate catered company events and meetings</li></ul> Facilities Planning and Maintenance: Provide support to management and employees to ensure they have the resources needed for the efficient operation of the office.<ul><li>Plans and executes team and facility moves</li><li>Manages coordination of daily facility operations; coordinates building maintenance and repairs</li><li>Manages vendor relationships and contracts in conjunction with the Sourcing &amp; Procurement team.</li><li>Custodial supervision: oversees the cleanliness and maintenance of the office. </li></ul> Ensures Physical Company Security: Responsible for ensuring that physical company security protocols are being met at all times<ul><li>Work in tandem with the Business Technology team  to ensure security and IT needs are met</li></ul>Special Projects: Collaborate with the EMEA Office Operations Manager on various assignments and special projects as requested.
