The Order Management Service Specialist extends order -replated and logistical assistance to customers, the Contact Center, and Supply Chain teams. Duties include the coordination and maintenance of the sales order process and responding to customer inquiries via email and phone. Primary duties / essential responsibilities<ul><li>Transforms service quotations for spare parts into sales orders ready for delivery.</li><li>Monitors Service activities by ensuring timely processes of orders for standard exchanges and in warranty spare parts.</li><li>Ensures exceptional customer service by meticulously overseeing the complete process of entering and fulfilling customer orders within designated timeframes.</li><li>Oversees internal purchase orders originating in Canada to US order entry and delivery.</li><li>Attaches all purchase orders and quotes for time and Material activities for billing accuracy.</li><li>Collaborates with Billing and Accounts Receivables teams to collect down payments, enabling the release of shipment for delivery.</li><li>Participates in weekly backlog meetings with the Supply Chain teams to assess inventory availability and fulfillment.</li><li>Resolves and corrects material data within the sales order as requested by our Contact Center.</li><li>Function as a liaison between the contact center and supply chain teams to communicate updates to a sales order and service notification.</li><li>Coordinate data entry tasks including the creation of ship to partners in Salesforce</li><li>Provides open returns reports to key accounts.</li><li>Addresses inquiries from the Customer.</li><li>Serves as a liaison between service and operations departments, ensuring a seamless flow of customer deliveries.</li><li>Creates delivery notes and monitors transfer to 3PL to Footprint system.</li><li>Other duties as may be required or assigned.</li></ul>Required training (type / duration / field / additional training)<ul><li>High school diploma or equivalent education is required.</li><li>Associate degree in business or logistics is strongly preferred.</li><li>Required relevant professional experience (type / duration)</li><li>At least 3-5 years of experience in administrative or logistical support role is required.</li></ul>Other specialized skills<ul><li>Knowledge of SAP/ Salesforce.</li><li>Order Management and customer service experience.</li><li>Strong problem solving in resolving complex duties and tasks.</li><li>Knowledge of logistics and freight forwarders (FedEx, TMS etc.)  recommended</li><li>Proficiency in the English language, both written and verbal, is required.
