NRDC's Beijing Representative Office is registered in Beijing in accordance with applicable laws. NRDC is seeking a Sr. Administrative Coordinator/Adminstrative Coordinator to work with the China team in our Beijing office.Position SummaryThe Sr. Administrative Coordinator/Administrative Coordinator will report directly to the Operations Director, as well as receive guidance from HR Manager and work closely with the US Workplace Strategy team. The successful candidate will help foster an organizational culture that reflects our commitment to environmental responsibility—ensuring not only operational excellence but also the integration of sustainability into our daily practices. <h2>Responsibilities</h2><ul> <li>Assist in managing the day-to-day operations of the office, including security, insurance, cleaning, floral arrangement, and other administrative tasks.</li> <li>Promote and implement NRDC's sustainable operations practices, such as reducing waste, managing recycling program, and following non-toxic materials purchasing guidelines.</li> <li>Coordinate office layout, meeting room setup, and maintenance of shared areas to ensure a productive work environment.</li> <li>Act as a liaison with the property management, addressing facility issues and managing building-related communications.</li> <li>Assist with lease negotiations and coordinate office relocations when necessary.</li> <li>Handle the procurement of office supplies, subscriptions, and sustainable materials in accordance with NRDC’s green purchasing guidelines.</li> <li>Coordinate with office service vendors regarding contracts, service interruptions, and maintenance scheduling.</li> <li>Research and evaluate potential vendors to ensure high-quality service and cost-effectiveness.</li> <li>Assist in tracking and reconciliating office-related expenses, and support the preparation of expense reports.</li> <li>Help manage inventory and fixed assets across the office.</li> <li>Coordinate with the travel agent on matters related to bookings, payments, and travel policy updates.</li> <li>Coordinate with local IT consultants to procure IT equipment for staff and office use and ensure timely solutions to computer and network-related issues.</li> <li>Assist the HR manager with recruitment, onboarding, and offboarding procedures.</li> <li>Orient new employees and interns to the office and train them on relevant protocols and procedures.</li> <li>Assist in planning in-house and off-site office events such as staff meeting, outing, and retreat. </li> <li>Provide logistical support to broader operations or project teams as needed.</li> <li>Assist in ad-hoc projects and other duties as assigned by the Operations Director. </li></ul><h2>Qualifications</h2>Required<ul> <li>Commitment to NRDC’s mission and values.</li> <li>University or college degree.</li> <li>3+ years of experience in an administrative, operations, or office assistant role.</li> <li>Highly organized with excellent time management skills; able to prioritize tasks and handle multiple responsibilities in a structured and efficient manner</li> <li>Strong attention to details and a high level of accuracy in all aspects of work.</li> <li>Strong interpersonal skills and a professional, service-oriented mindset; able to build and maintain positive working relationships across teams.</li> <li>Proactive, dependable, and able to work independently and in team as well.</li> <li>Proficiency in MS Office (e.g., Excel, Word, SharePoint, and Outlook, etc.) web-based communications (e.g., MS teams).</li> <li>Discretion in handling confidential or sensitive information.</li> <li>Good verbal and written communication skills in English.</li></ul>Preferred<ul> <li>Commitment to sustainability and environmental values is a strong advantage.</li> <li>Prior experience in international NGOs will be a plus.</li></ul>NRDC is committed to advancing diversity, equity, and inclusion, both in our work and in our workplace.
