This role plays a key part in ensuring the smooth execution of administrative, coordination, and communication tasks across the operations leadership team. The ideal candidate will be detail-oriented, reliable, and capable of handling confidential information with discretion.</p><h2>Key Responsibilities</h2><h2><strong style="font-size:14px;">Executive Support:</strong></h2><ul><li>Manage the Senior Director’s calendar, appointments, and meeting schedules.</li><li>Coordinate domestic and international travel arrangements, including visas, flights, accommodation, and transportation.</li><li>Prepare agendas, take meeting minutes, and follow up on action items for key meetings.</li></ul><p><strong>Communication and Coordination:</strong></p><ul><li>Serve as a point of contact between the Senior Director and internal/external stakeholders.</li><li>Draft and proofread professional communications, reports, presentations, and memos.</li><li>Coordinate communication and follow-up with departmental leaders to ensure timely updates and task completions.</li></ul><p><strong>Document Management:</strong></p><ul><li>Maintain organized electronic and physical filing systems for operational documents, contracts, and confidential files.</li><li>Prepare and manage correspondence, reports, and documentation as requested.</li><li>Ensure accurate and timely submission of reports, KPIs, and project updates.</li></ul><p><strong>Event and Meeting Support:</strong></p><ul><li>Organize team meetings, leadership reviews, workshops, and plant visits.</li><li>Manage logistics for internal events, such as catering, venue bookings, and visitor arrangements.</li><li>Track and follow up on meeting deliverables with cross-functional teams.</li></ul><p><strong>Operational Assistance:</strong></p><ul><li>Assist in tracking operational milestones, project plans, and department KPIs.</li><li>Support onboarding of new employees in the Operations department (workspace setup, document processing, system access).</li><li>Monitor office supplies and ensure equipment and services are functioning smoothly.</li></ul><h2>Skills</h2><ul><li>Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management tools.</li><li>Strong organizational, time management, and multitasking abilities.</li><li>Excellent written and verbal communication skills.</li><li>High level of professionalism and discretion with sensitive information.</li><li>Ability to work independently and collaboratively in a dynamic environment.</li></ul><h2>Minimum Qualifications</h2><ul><li>Bachelor’s degree in Business Administration, Office Management, or related field.</li><li>Minimum 3 years of experience in an administrative or executive assistant role, preferably in a manufacturing setting.</li></ul><div><div><p><strong>Additional Compensation and Benefits</strong>: Lucid offers a wide range of competitive benefits, including medical, dental, vision, life insurance, disability insurance, vacation, and 401k.
