Job OpportunitySWTCH Energy Inc is seeking a highly organized and proactive individual to join our team as a part-time Office Manager. The successful candidate will play a pivotal role in ensuring the smooth operation of our office and supporting the People &amp; Culture team. This is an exciting opportunity for a detail-oriented professional who thrives in a fast-paced environment and is passionate about contributing to the clean energy revolution.Reporting to the Head of People &amp; Culture, this role is an on-site position at our office in Etobicoke. This is a part-time role, with an expectation of 3 days per week, 8 hours each day. ResponsibilitiesOffice Operations Management<ul><li>Oversee and manage daily office activities to ensure smooth and efficient operations.</li><li>Coordinate and track office supplies and equipment for all employees, ensuring timely ordering and inventory management.</li><li>Manage office technology, including computer and software systems, with troubleshooting and maintenance as needed looking for opportunities to save on costs.</li><li>Support with company software licenses, including renewals and compliance management.</li><li>Maintain and implement office policies and procedures to foster a productive work environment.</li><li>Provide technical support for office computers, peripherals, and software applications.</li><li>Assist with setup and maintenance of network systems, including ensuring connectivity and security.</li></ul>Administrative and People &amp; Culture Team Support<ul><li>Provide comprehensive administrative support, including drafting correspondence, managing files, and handling confidential information.</li><li>Perform general office duties such as data entry, record-keeping, and maintaining a clean and organized workspace.</li><li>Support the People &amp; Culture Team as needed with various administrative tasks (offer letters, background checks, onboarding employees, presentations, etc.)</li></ul>Event Coordination<ul><li>Plan, organize, and coordinate company events, meetings, and team-building activities, including logistical support for hybrid town hall meetings, annual retreat, etc.</li><li>Assist in the organization of industry conferences and exhibitions.</li><li>Support in booking transportation and accommodation - negotiation of bulk pricing and deals with suppliers.</li></ul>Communication and Coordination<ul><li>Act as the main point of contact for all internal and external communications.</li><li>Facilitate effective cross-departmental communication and collaboration.</li><li>Handle incoming emails, phone calls, and inquiries with professionalism and discretion.</li></ul>Requirements<ul><li>3+ years proven experience as an office manager and/or assistant.</li><li>Excellent organizational and multitasking abilities.</li><li>Strong written and verbal communication skills.</li><li>Proficient in Microsoft Office Suite and other relevant software.</li><li>Ability to handle sensitive information with confidentiality.</li><li>Bachelor's degree in Business Administration or a related field is preferred.</li><li>Experience in Human Resources is not required, but nice to have!</li></ul>Benefits<ul><li>Business Impact - As a core member of the executive team, you have the opportunity to take a lead role and make a significant impact on the culture and values of the company.</li><li>Environmental Impact - We are a clean energy company with a mission to reduce carbon emissions globally to ensure a clean and sustainable future.</li><li>Diversity - People develop their talents and skills in different ways.
