This role serves as the face of the company at the front desk while managing daily office operation - including mail, supplies, and light facilities and administrative support. The ideal candidate thrives on exceptional hospitality, organization, and proactive problem-solving, ensuring the workplace runs smoothly and reflects our company’s values.<h2>General Expectations:</h2><ul style=""><li>Hospitality mindset: Create an inclusive, welcoming environment for employees and guests.</li><li>Professionalism: Represent the company with warmth, confidentiality, and discretion.</li><li>Organization &amp; follow-through: Maintain detailed records, manage multiple tasks, and keep shared spaces impeccable.</li><li>Proactive ownership: Anticipate needs, identify gaps, escalate problems and suggest improvements.</li><li>Adaptability: Handle shifting priorities and unexpected challenges calmly and effectively.</li></ul><h2>Responsibilities:</h2>Front Desk (Visitors, Mail, Shipments)<ul style=""><li>Provide warm, professional front-of-house coverage during business hours. Greet, badge, and host visitors, candidates, and contractors and promptly notify hosts.</li><li>Maintain a polished, “ready now” appearance for the lobby, reception, and conference rooms.</li><li>Serve as the first point of contact for in-person inquiries, ensuring a professional, friendly impression.</li><li>Receive and route incoming mail and packages to appropriate recipients. Prepare outgoing shipments (FedEx/UPS/LTL) and ensure accurate labeling and tracking. Coordinate delivery handoffs to the adjacent warehouse with clear communication and documentation.</li></ul>Kitchens, Supplies &amp; Purchasing<ul style=""><li>Support restocking kitchen supplies, snacks, beverages, and office supplies.</li><li>Support lunch and catering logistics, including vendor coordination, setup, teardown, and light cleanup.</li><li>Track and replenish office inventory; partner with vendors to ensure timely supply orders and deliveries. </li></ul>Office Operations &amp; Facilities<ul style=""><li>Coordinate building access, maintenance, and vendor work; escort technicians and contractors as needed. Assist with short term credentials for contractors and service providers as needed.</li></ul>Backup &amp; Special Support<ul style=""><li>Provide front desk or coordination coverage during vacations or absences.</li><li>Assist with general administrative support requests from Leaders, People Team and Chief of Staff to CTO as needed. </li><li>Other duties as assigned</li></ul><h2>Qualifications:</h2><ul style=""><li>3+ years of experience in office coordination, facilities, or front desk operations.</li><li>Strong customer service orientation and communication skills.</li><li>Comfortable with workplace technology (Google Workspace, Slack, Envoy, etc.).</li><li>Excellent organization, attention to detail, and time management.</li><li>Ability to lift up to 25 lbs and manage light setup tasks as needed.</li></ul><h2>Benefits:</h2><ul style=""><li>Industry-competitive salary</li><li>Equity plan</li><li>6% employer 401k matching</li><li>Generous paid time off (including sick leave, vacation, paid family leave)</li><li>Medical, Dental, and Vision insurance</li></ul>Actual base salary offered will be determined by: experience, skills, and work location.
