Position Summary
We are looking for an experienced Executive Assistant to support our CEO, who is a fast-paced serial entrepreneur and energetic leader that values true partnership with his team and EA. The ideal candidate is a seasoned EA who sets high standards for themself and our organization. They take initiative, know how to help a team succeed, communicate clearly and constructively, can multitask with ease, and remain organized. And they know when, where, and how to manage up.

Primary Responsibilities

  • Work with the CEO to distill and manage weekly, monthly, and quarterly commitments and priorities.

  • Oversee the CEO’s day-to-day activities with a high level of professionalism and confidentiality, including management of email, contacts, and other technology systems.

  • Manage CEO’s calendar, including scheduling internal and external meetings, and arranging and providing logistical support for CEO travel.

  • Complete CEO’s administrative tasks, including preparation and submission of timesheets and expense reports.

  • Support clear, efficient, and consistent communication between the CEO and Activate staff.

  • Serve as the first point of contact for meeting requests and outside inquiries.

  • Coordinate executive team meeting agendas and track resulting action items.

  • Coordinate and manage logistics for board meetings, including tracking and developing board meeting materials and communicating with the board.

The Ideal Candidate ...

  • Has a minimum of 4 years of experience supporting an executive, including work within a startup or similarly fast-paced, dynamic environment.

  • Has excellent time-management skills and task/project management skills, including the ability to manage competing priorities.

  • Has excellent written, verbal, and oral communication skills and superb attention to detail.

  • Has excellent analytical and organizational skills, with demonstrated ability to make decisions quickly and independently.

  • Has experience with relevant communication and collaboration tools (such as Slack, Zoom, Asana, Calendly, Notion, Trello, etc.), and databases (such as Airtable, Salesforce, etc.).

  • Can work independently and excel in and contribute to a collegial and friendly working environment.

  • Takes initiative, accepts direction/seeks guidance appropriately, and is thoughtful about when and how to engage others and escalate concerns/needs.

  • Is flexible and excited by an administrative role in a fast-paced startup, with a team that also prioritizes balance and vacation time.

About The Role
This is a full-time position with a competitive salary and a comprehensive suite of benefit offerings. This role includes approximately 5 percent travel for national events.

This position is open to remote work with a preference for placement in our Berkeley community.
