Job Description

Job Summary: 

We are currently looking for a full-time Office Manager at our Minneapolis office. This person will be responsible for creating an efficient, functional, and inviting office environment while providing support to staff and teams throughout the enterprise and conducting a range of clerical and administrative tasks to foster successful daily operations. 

Ultimately, a successful Office Manager will display commitment through the completion of tasks, and manage multiple priorities while displaying high level of attention to detail, initiative, a strong work ethic, and excellent communication skills.

Essential Functions:

  • Responsible for general office administration including office upkeep and liaison with building management for maintenance requests, issues, service, and building/parking access cards/fobs. 
  • Responsible for acknowledging, addressing and escalating IT tickets as needed. 
  • Provide clerical support such as greeting and directing clients and visitors (in person and over the phone). 
  • Be primary point of contact for all the office services such as phone and internet providers, IT consultants, building management, etc. 
  • Maintain inventory and create purchase orders for all the office services, goods, supplies, IT kits, tools and equipment and buy, monitor the payment and reconcile its delivery.
  • Coordinate team calendars, schedules, and priorities across the enterprise, ensuring the successful completion of tasks through frequent follow-ups and reminders with the administrative and executive staff.
  • Schedule, prepare for, and lead staff and administration team meetings, and serve as backup administrator for other team meetings when necessary, including taking notes and tracking deliverables.
  • Prepare, send, collect, distribute mail and package deliveries through USPS, FedEx, and other shipping services in a timely and accurate manner and assist maintaining office files and records.
  • Other administrative and clerical duties as assigned. 

 

Required Skills and Abilities 

  • Extensive knowledge of office management procedures.
  • Extensive knowledge preparing for and leading meetings. 
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong work initiative with the ability to follow-through.
  • Proficient in (or willingness to learn) MS Office and Mac applications and organizational applications and tools, including Slack, Asana, Calendly, Zoom, and Box.
  • Familiarity with (or willingness to learn) troubleshooting for basic office IT needs such as printers, phones, internet, etc. 

 

Education and Experience:

  • Associates or higher degree in Business Administration or a similar field.
  • 5 or more years of previous administrative support and clerical experience, preferably in a fast-paced environment. 

 

Physical Requirements: 

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
