Job Description

GENERAL DESCRIPTION OF POSITION
We are seeking an enthusiastic, driven Human Resources/Talent Acquisition Administrator to join our team! This role includes tasks such as pre-employment test coordination, assisting with job fair coordination and registration, preparing files and system access for new employees, and coordination and scheduling for New Hire Orientation. This position is also responsible for the full cycle payroll from time collection to processing on the company’s normal pay cycle.  It is your stepping stone to a continued career as an HR professional! This is a hybrid (remote) position. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Act as the liaison for Human Resources and Talent Acquisition with prospective candidates, new hires, employees, and alumni ensuring smooth communication and prompt resolution of requests and questions.
  • Maintains the Human Resources email box and ensures response within 24 hours, resolution within 48 hours, or moves the situation to the Human Resources Generalist for action.
  • Establishes and assist with maintaining the HR and TA frequently asked questions (FAQ) documents on the HR Intranet site.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Is the compliance manager of all I-9 documents.  Conducts a quarterly I-9 audit.
  • Annually completes the EEO-1, VETS-4212, and OSHA, reports. Once approved by the SR. HR manager submits to the federal agency as timeframe dictates.
  • Assists with planning and execution of special events such as the “best practice” orientation, benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and departure celebrations.
  • Assist as instructed by Talent Acquisition Specialist in the recruitment lifecycle (e.g. onboarding new hires and candidate sourcing).
  • Responsible for the timely and accurate reporting of company payroll – based on the established payroll cycle. Submit the run after approval from the HRG.  Update the payroll calendar on an annual basis.
  • Perform any other related duties as required or assigned.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree, plus 2-4 years of related experience and/or training. Or equivalent combination of education and experience. SHRM -  PHR preferred or pursuing.
  • Proven experience as an HR assistant, staff assistant, or relevant human resources position
  • Basic knowledge of labor laws
  • Excellent organizational skills
  • Strong communications skills, including both written and verbal communication skills.
  • Ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to use common sense understanding to carry out detailed written or oral instructions
  • Intermediate: Data Entry, Human Resources Systems, Payroll Systems, Applicant Tracking Systems, Presentation/PowerPoint, Spreadsheet, Microsoft Office Suite
