Immigration Coordinator

Zoox is looking for an energetic, self-starting immigration coordinator to join our growing legal team and Zoox’s mission to create the first ground-up and purpose-built autonomous vehicle mobility service.  In this role, you will work closely with Zoox’s immigration specialist and the outside immigration counsel, and manage the administrative aspects of the immigration program. This role will also work closely with our human resources, talent, and legal teams.

Responsibilities:

• Coordinate and initiate all new transfers, renewals and permanent residency case initiations.
• Coordinate and gather information required for candidate and employee assessments for O-1 eligibility.
• Tracking case progress, following up with outside counsel if case is delayed, updating recruiters on new hires’ transfer progress.
• Answer basic US immigration questions from employees, HR and talent teams.
• Assist with tracking/monitoring work authorization expiration dates and routinely updating databases and reports, and upload required documents.
• Assist with documenting immigration processes, policies and workflows.
• Assist with record-keeping processes including public access files.
• Posting physical notices for the PERM process and handling advertisement invoices.
• Draft business letters for global visa applications and assisting with providing information.
• Act as a resource for the immigration team, foreign national employees and outside legal counsel for general information and workflow processes.
• May assist with other projects as needed.

Qualifications:

• BA / BS Degree
• 3-5 years of experience in an immigration paralegal or administrative role within a law firm or in-house
• High level understanding of immigration logistics in order to prioritize and manage tasks
• Ability to learn things quickly; prioritize and manage multiple tasks in order to meet tight deadlines
• Working knowledge of Google Suite, Microsoft Excel and Word
• Ability to maintain strict confidentiality
• Excellent customer service, communication, interpersonal and relationship-building
• Sense of urgency, detail oriented and aptitude to follow through

Vaccine Mandate
Employees working in this position will be required to have received a single dose of the J&J/Janssen COVID-19 vaccine OR have completed the two-dose Pfizer or Moderna vaccine series. In addition, employees will be required to receive a COVID-19 booster vaccine by the earlier of (1) April 15 or (2) within two months of becoming eligible for the booster vaccine.
