Job Overview

The Technical Associate supports the Technical Manager in the administration of the relevant schemes. The position requires developing a detailed understanding of the relevant schemes and certification process. Primary responsibilities include but are not limited to client registration, report review, certification, quality control, and providing guidance to Client Services, Auditors, and Clients. The position requires high-level technical proficiency with the standard/scheme regulations, compliance criteria, and audit process.

Essential Duties and Responsibilities

Report Review and Auditor Interface

  • Review reports from auditors for quality, consistency, completeness and adherence to guidelines
  • Monitor due dates for clients and auditors
  • Assist with assessment of contract and staff auditor’s qualifications, and ongoing work performance

Client Registration and Database Management

  • Review client documents and register clients in the appropriate scheme databases; update information as needed
  • Track and manage milestones & certification deadlines related to all aspects of the audit project
  • Maintain audit and certification log
  • Upload audit reports/certificates and enter audit dates into the databases

Client Support and Communication

  • Provide excellent customer service in response to requests and inquiries
  • Assist new clients with audit processes including certification, audit, and logo guidelines
  • Issue suspension letters to clients
  • Assist Client Services staff with technical issues and guidance

Record Maintenance

  • Maintain complete client records
  • Data entry into 2nd and 3rd party online databases
  • Ensure that all required audit documentation is complete

Program Quality and Compliance

  • Attend training to maintain qualification to review audit reports; maintain training records
  • Maintain up to date knowledge of applicable regulations and standards
  • Conduct technical report review and provide input for final certification decisions
  • Assist with the translation, development, and maintenance of program quality documents, as needed

Audit Services

  • Adhere to all quality and code of conduct standards
  • Conduct audits using applicable checklists, forms, and tools
  • Maintain positive client relationships and respond to all client inquiries and concerns
  • Submit complete and accurate audit reports within established timelines

Qualifications

  • Bilingual – must be able to read, write, edit documents and communicate professionally in both English and Spanish
  • Strong communication and customer service skills
  • Well-developed organizational and time management skills
  • Strong computer skills, including Excel, Word, Outlook, and Database systems
  • Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered, unless precluded by local and national jurisdiction. Pursuant to local and national law - proof of vaccination is required. Medical and religious accommodations will also be considered.

Education and Experience

  • Bachelor’s Degree in a related field or three years work-related experience
  • Administration or account management experience
  • Work experience involving professional written communication

Physical Requirements

This is an office-based job. Sit 6+ hours per day. Keyboarding 6+ hours per day. Must be able to speak and listen in person and on the phone.
