Position Overview   

RMI is seeking a Program Coordinator with exceptional organizational and communication skills to facilitate successful execution of all operations within RMI Global South Program, specifically the Islands Energy Program team, enabling maximum impact and return on investment. The Program Coordinator plays a key role in ensuring that the knowledge developed by the program is effectively managed and communicated to relevant parties. The Program Coordinator drives efficiency across operations and supports successful execution by monitoring and reporting on progress, resource usage, and performance to objectives. This individual also ensures program budgets and progress are reported to staff and funders, and that the program coordinates and collaborates with key stakeholders to drive change.  

Background  

RMI is an independent nonprofit founded in 1982 that transforms global energy systems through market-driven solutions to align with a 1.5°C future and secure a clean, prosperous, zero-carbon future for all. We work in the world’s most critical geographies and engage businesses, policymakers, communities, and NGOs to identify and scale energy system interventions that will cut greenhouse gas emissions at least 50 percent by 2030.  

With an independent, objective, and fact-based approach, RMI’s Africa Energy Program works with a diverse set of public and private sector partners to solve sub-Saharan Africa’s toughest energy challenges. Fundamentally, we believe that people need and deserve access to clean, reliable, and affordable power, and that historical approaches to energy systems will not enable sustainable economic development for Africa economies in the 21st century and beyond. We are working to change that, leveraging RMI’s global platform and deeply collaborative partnerships across the range of industry stakeholders.  

Our program strategy and team of 20 people focus on three components: 1) expanding the use of holistic energy planning and clean energy portfolios, 2) enabling distributed energy resource (DER) adoption including minigrids to expand access and save costs for stakeholders, and 3) demand-side interventions to drive efficient use of energy that enables local economic development.  

Currently, the Africa Energy Program works alongside country partners in Nigeria, Ethiopia, and Malawi, with regional scaling activities that include partners across many countries in sub-Saharan Africa. 

Application Deadline and Timeline: Final Applications in by June 30, 2022 

Key responsibilities:  

Budget and grant reporting assistance 

  • Help maintain program budget by supporting reforecasting on a monthly basis and support with annual budget creation within Adaptive  
  • Work with Development and the program team to ensure coordination of key materials and all funding opportunities are up to date in Salesforce on a monthly basis  
  • Support program fundraising efforts by ensuring RMI and program qualifications are appropriately referenced in funding proposals  
  • Facilitate and manage the monitoring and reporting against all requirements in the program’s grant, multilateral, and contract agreements  
  • Support grant management, tracking, and reporting in partnership with compliance manager, development officer, operations lead, and program leadership  
  • Maintain a high-level view of the funding Pipeline and give feedback to leadership on future funding gaps  
  • Act as a liaison between finance and the program to ensure that the correct rates are being used for budgets in funding proposals and contracts  

People  

  • Support program team with full-cycle recruitment, including working with leadership to update and deliver on hiring targets and staff utilization  
  • Ensure that team members are participating in relevant trainings and utilizing their learning and development budgets  
  • Serve as point person for the program team on travel safety procedures and guidelines  
  • Procurement and contracting  
  • Plan, organize, and execute internal program-related events  
  • Manage invoices, current contracts, creation of new contracts, and relationships with current and future program contractors 
  • Submit vendor bills correctly and in a timely manner  

Project management  

  • Ensure all team members are properly planned in project management tools  
  • Maintain project structures (including budget and project-specific data) and create new projects when needed in project management tools  
  • Review and approve timesheets and expense reports for the program  
  • Maintain the program’s SharePoint pages  
  • Internal (intra-Institute) coordination  
  • Serve as liaison between the program team and RMI’s operations departments, with a focus on efficiency and effectiveness  
  • Support operations with implementation of process improvements and RMI standards for program success  
  • Work with leaders to ensure consistent processes and tools are utilized across the program  
  • Facilitate internal coordination with other programs and operations on shared resources, providing frequent updates to leadership  

Procurement and contracting   

  • Plan, organize, and execute internal program-related events   
  • Manage invoices, current contracts, creation of new contracts, and relationships with current and future program contractors   
  • Submit vendor bills correctly and in a timely manner    

 Project management   

  • Ensure all team members are properly planned in project management tools   
  • Maintain project structures (including budget and project-specific data) and create new projects when needed in project management tools

Internal (intra-Institute) coordination   

  • Serve as liaison between the program team and RMI’s operations departments, with a focus on efficiency and effectiveness

  • Work with leaders to ensure consistent processes and tools are utilized across the program   
  • Facilitate internal coordination with other programs and operations on shared resources, providing frequent updates to leadership   

Other/ miscellaneous  

  • Facilitate meetings  
  • Act as safety liaison to the Crisis Management Team for international travel  
  • Support building a strong team collaboration culture  
  • Additional responsibilities, as required  

Minimum Qualifications  

  • Bachelor’s degree from an accredited college or university, or an equivalent combination of education and experience  
  • A minimum of 5 years of progressively responsible administrative, operations, project management, or related experience 
  • Strong verbal and written communication skills 
  • Proven organization skills and flexibility when it comes to balancing priorities

  • Experience with Salesforce, Adaptive, Mavenlink, and SharePoint 
  • Strong team and interpersonal skills and the ability to work independently

  • Good judgement and strong decision-making ability  

Location: 

Remote - located in the geographic area of Africa

Compensation: 

The starting salary range for this position is $63,000 - $74,000. This is dependent on experience that will be discussed and vetted through the interview process. This position also includes an additional 5% bonus target.
