Job Description

RMI is seeking an Accounts Payable Coordinator who will serve a key support role on the Accounting team and across the organization. Reporting to the Assistant Controller and working closely with other RMI staff, you will be responsible for ensuring the accurate and timely processing of vendor bills and employee expense reports. The ideal candidate is detail oriented with the ability to multi-task and work independently as well as in a team environment.

Responsibilities

  • Process vendor bills. Ensure required supporting documentation has been obtained including an active contract when necessary, proper authorization of payment, and coding of the expense
  • Ensure all vendor bills have proper documentation and receipts attached to the transaction record
  • Process payments via check, ACH, and wire. Ensure payment process follows financial policies and procedures
  • Review incoming employee expense reports. Check all receipts and accompanying detail, ensure account coding is accurate and verify expense reports adhere to the travel & expense policy
  • Research and resolve vendor bill and employee expense report discrepancies and issues
  • Maintain vendor database and files. Request and verify W-9 and contract documentation
  • Correspond with vendors and respond to inquiries
  • Work in partnership with project management staff to troubleshoot any issues with vendor bill submission in project management software
  • Maintains financial security by following internal accounting controls
  • Perform the appropriate month-end accounts payable processes including reconciliation of related G/L accounts
  • Assists with annual 1099 processing
  • Assist with bank deposits
  • Provide back up support for accounting staff

Qualifications 

  • Experience in a transaction processing role (either Accounts Payable or Accounts Receivable) preferred
  • Detail and service oriented with excellent verbal, written and interpersonal skills
  • Flexible and able to work in a fast-paced environment
  • Proficiency with Microsoft Office applications, especially Excel and Word
  • Workday experience preferred

Location

We are a remote-ready company with team members around the globe. Our beautiful and welcoming offices are available for meetings or focused work, whether you are traveling through or living nearby. Our U.S. offices are in New York City; Washington DC; Oakland, California; Boulder, Colorado, and Basalt, Colorado. This role can be located from anywhere in the continental United States. 

We provide you with the essential IT equipment plus a one-time home technology payment and a monthly work from home/commuter allowance to ensure you have a comfortable home office set up and necessary supplies. 

We love seeing each other in person! We occasionally gather for shared time together like retreats and learning experiences. Be ready to travel for occasional in-person meetings (and of course, we cover travel costs). Some roles may require more travel, which will be discussed during the hiring process.

Compensation

RMI compensates based on the level and requirements of the role. Salary within our ranges may also be determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. Typically, new Coordinators join at the minimum to mid hourly pay range of $22.60- $25.96. You would also have an additional 5% bonus target!
