Office Manager

We are 90+ team members, growing rapidly, and are in search of Office Manager who keeps things running smoothly! Reporting to the VP of Finance & Operations, the Office Manager will be responsible for making sure our downtown Boston office is welcoming, organized and well-equipped to support our team and our guests; while also supporting the CEO, senior team, and talent acquisition with a range of administrative tasks-- primarily calendar management, scheduling and associated communications.

You are the right fit for this role if you can manage a high volume of details and alternate seamlessly between taking direction and working autonomously, all with a positive, professional demeanor. Strong professional writing skills are essential (mostly email). Discretion with managing sensitive and confidential information is pivotal, as well as demonstrating sound judgment.

This position will have matrixed responsibilities and accountabilities across multiple senior leaders. It is expected that up to 70% of time will be in support of Senior Team and talent acquisition, of which up to 30% will be in direct support of the CEO. Over time, office management responsibilities are expected to increase to 50% of the job. 

What You’ll Do:

Administration

  • Understand CEO’s and other leaders’ calendars and which items are priorities; move flexible calendar blocks to accommodate top priority meetings and events
  • Write and manage email communications with internal and external stakeholders related to scheduling
  • Coordinate with external stakeholders to align their availability with that of the CEO’s/leaders’ calendars
  • Support CEO and other senior leadership in scheduling internal and external meetings
  • Support Recruiting and Human Resources with candidate management, communications, interview scheduling and onboarding
  • Keep sensitive communication (including identification of job candidates, and certain stakeholders) confidential and/or on a need-to-know basis, as appropriate
  • Support senior leadership with other administrative tasks/projects as needed

Office Management

  • Enable a positive, safe work environment
  • Manage day-to-day operations of physical office space (e.g., office and kitchen supply ordering, in/outgoing mail management; kitchen and common space upkeep)
  • Develop and execute processes for office upkeep, reporting issues, identifying needs, and purchasing and maintaining company supplies; uphold company policies and create new, as applicable
  • Liaise with building management, facilities maintenance, and EnergySage IT
  • Welcome guests and prepare meeting rooms and materials, as needed
  • Aid in welcoming and onboarding new hires
  • Support business and social event planning
  • Establish and maintain strong relationships with team members

What We Look For

  • Work and/or internship experience in a professional environment performing administrative and organizational responsibilities
  • Demonstrated proficiency in calendar and email applications (Microsoft or Google suite)
  • Excellent writer and communicator
  • High level of discretion; able to keep sensitive information confidential
  • Professionalism—able to communicate as a business professional with other senior leaders/stakeholders and their representatives
  • Comfortable working in a fast-paced, dynamic environment with a high level of autonomy
  • Demonstrated ability to organize, manage and prioritize multiple deliverables
