Job Description

Job Summary: 

We are seeking a full-time Operations Administrative Assistant to join our team in Minneapolis. Reporting to the Chief Operating Officer, this position will be an integral part in ensuring the smooth running of day-to-day operations. The Operations Administrative Assistant will also provide support to the Wind Park Operations team, which includes tasks such as creating purchase orders, managing field inventory, and coordinating the completion of internal deliverables.

 

Essential Functions:

  • Monitor and follow-up on team priorities, daily Plans of the Day (PODs) and site performance updates
  • Create and follow-up on operational purchasing orders, quotes, and invoices
  • Track and follow-up on outstanding payments, bills, reports, and filings
  • Maintain operational inventory
  • Primary point of contact for site support and vendors  
  • Coordinate team calendars, meeting agendas and minutes, and a weekly on-call rotation schedule
  • Book travel, including reviewing and maintaining travel checklists
  • Follow-up with the team for expected compliance deliverables, filings, and reporting
  • Proactively recommend improvements to increase performance
  • Field meetings, calls, emails and tasks for operations executives and managers
  • Enforce company policies and procedures (both in office and in field)
  • Other clerical duties as needed

 

Qualifications:

  • 1-2 years’ experience in an administrative or operations support role
  • Associate or Bachelor’s degree in business, environmental science, or a related discipline
  • Strong written and verbal communication skills
  • Excellent time management skills and an ability to multi-task and prioritize work
  • Attention to detail and superb organizational skills
  • Ability to work effectively in a fast-paced environment
  • Exceptional analytical skills to sift through high volumes of data and information
  • Ability to work sitting down in front of a computer for long hours every work day
  • Knowledge of or willingness to learn the company’s O&M software and purchase order systems (Planergy)
  • Proficient in Mac and Microsoft apps, tech-savvy (preferred)
