About Us

The People Operations team at WeaveGrid is looking for a Workplace Specialist to join our rapidly growing team in our new San Francisco office! The person in this role will oversee office functions while going the extra mile to create a positive and welcoming environment for all visitors and team members. Responsibilities would include greeting clients and guests, coordinating vendors, stocking inventory, office upkeep, and event planning. About the job

Responsibilities

  • Oversee all operational and organizational functions of the office, including:
    • Supplies inventory
    • Common area scheduling 
    • Gatekeeping phones and directing visitors 
    • Office budget management
  • Greet and register all visitors in a professional and friendly manner
  • Serve as point of contact with building management as well as vendors that provide services to the office
  • Assist with planning company holiday events as well as events held at the office (happy hours, summit meetings, lunch and learns)
  • Manage the A/V system and set up equipment for events like the weekly All Hands
  • Manage the weekly office lunch program
  • Maintain kitchen and restock supplies
  • Provide the highest level of customer service and respond to all guest inquiries
  • Maintain and manage the conference rooms with necessary equipment and proper upkeep
  • Manage all incoming mail, packages, freights, and distribute appropriately (requires some physical lifting/carrying)
  • Performs other related duties as assigned

 

About you

  • 5-6 years of experience in office management or relevant position, ideally in a fast-paced startup environment
  • Experience in G-Suite, Slack, Envoy, and office-related software
  • Detail-oriented and a self-starter with exceptional prioritization and organizational skills
  • The ability to lift files or other objects (30+ lbs)
  • You want to apply your talents to meaningfully address climate change.
  • Proven ability to work in a fast-paced environment with dynamic deadlines
  • Excellent verbal and written communication skills, ability to prepare clear and concise client-ready documents
  • Ability to be present in the office 5 days per week
