Covid Vaccination Policy

Position Summary

The Executive Assistant will manage the day-to-day affairs of the company’s headquarters in New York City, working side-by-side with all business stakeholders and providing support to the C Suite executives. The position will report to the General Counsel. The EA will be expected to maintain complete confidentiality when handling sensitive and non-routine information. This position will be required to be in the NYC Offices in Midtown Manhattan, Monday thru Thursday, 9am-5pm, Fridays on an as needed basis. 

Core Responsibilities 

  • Provide professional administrative support to our Executive Team (4-6 executives), including processing expenses, meeting planning/preparation, booking travel and accommodations, and other support as needed.
  • Perform secretarial duties for the Executive Team, including typing routine correspondence and other documents; scheduling appointments and reservations; maintaining files of the organization; light personal tasks.
  • Prepare signature pages and coordinate contract execution.
  • Oversee contract lifecycle management for the legal team.
  • Coordinate travel itineraries; book travel, conference passes, and other accommodations.
  • Manage corporate governance documents and coordinate with third party agencies.
  • Book group travel for company events.
  • Scout locations for and support company events, e.g. team meetings, retreats, and holiday parties.
  • Act as the point person for maintenance, mailing, shipping, office supplies, pantry supplies, service providers, and errands.
  • Partner with HR to maintain and implement office policies as necessary.
  • Maintain the appearance of common areas and meeting spaces.
  • Coordinate with IT on all office equipment.
  • Provide general support to visitors.
  • Answer calls and direct messages to appropriate team members.
  • Other duties as assigned
  • Some travel may be required 

Education Requirements

  • Associates degree 

Technical Skills and Experience

  • 4+ years of experience as an Executive Assistant, including handling a wide range of administrative and executive support-related tasks independently and autonomously
  • Strong computer skills, with an emphasis in MS Word, Excel, and PowerPoint.
  • Experience with G-Suite technologies, Slack and Zoom required
  • Experience with monday.com, Dropbox, Salesforce, and Ironclad a plus but not required

  • Strong organizational skills with particular attention to detail and ability to manage multiple tasks.
  • Strong problem solving skills and the ability to solve issues independently
  • Excellent communication skills with the ability to interact professionally with partners and staff.
  • Ability to multi-task and manage multiple workload priorities; work well with tight deadlines; and maintain a high aptitude for detailed work.
  • Energetic professional who doesn't mind wearing multiple hats.
