Job Description

Position

We’re looking for a full-time Conference Coordinator to join the expanding event team as we grow our events. The Conference Coordinator must be able to adjust to rapidly changing circumstances and work collaboratively with a fast-moving team. Overall compensation (base salary + discretionary bonus) for this role will be provided commensurate with years of experience and qualifications within the following range: $70,000 - $90,000 plus health and wellness benefits.

Responsibilities

  • Food & Beverage: Assisting in the management of F&B programs, working closely with partners and venues to ensure our menus align with our sustainability initiatives
  • Hotel room blocks: Assisting in the coordination of staff room list, VIP and affiliate accommodations for all in-person GreenBiz events
  • Venues & Vendors: Coordinating conference details with our venues, event decorators, electricians, and other service providers in collaboration with the Conference Operations team
  • Special events: Support in planning special events, including VIP dinners, partners and sponsor receptions, lunches, and after parties
  • Sponsor deliverables: Working with the sponsorship team to ensure deliverables are being met by the conference team, including obligations related to sponsor dinners and partner special events
  • Budgets: Updating budgets of special and sponsored events, including gathering vendor quotes and invoices.
  • Sustainability: Supporting GreenBiz event sustainability programs, including coordinating the development and build-out of the VERGE microgrid in collaboration with the Conference Operations team

Requirements

  • BA or equivalent preferred
  • Strong attention to detail with exceptional time management, organizational and multitasking skills, practicing care in handling sensitive information
  • Strong writing skills
  • Ability to work internally with colleagues within and beyond the conference team, and all other departments along with customers and partners outside of GreenBiz
  • Flexibility in a constantly evolving environment
  • Proficiency in MS Office tools including Word and Excel, and generally strong computer skills. Experience with Google Apps (Drive, Sites, etc.) strongly preferred
  • A proven professional or personal commitment to sustainability

Preferred but not required

  • 1-3 year experience in event/conference planning specifically related to in-person events
