What we’re looking for: 

Nexamp is looking for an Office Engagement Coordinator in our Boston Headquarters. As the Office Engagement Coordinator, you will be responsible for supporting company initiatives to enhance our team members’ experiences and promote a highly productive, engaged, value-based cultureWe want to create an environment that ultimately builds pride, a sense of community and a dedication to our mission.  This unique role will spend 50% of time handling office duties and 50% time working on engagement projects. Reporting into the Team Member Engagement Specialist, the goal for the Coordinator is to make sure that we are creating an environment in the office that is fun, engaging, and productive.  The person will need to be highly organized, able to work collaboratively to help design and deliver projects that support our engagement goals.   

This role is onsite in our Boston Office 5 days a week.   In addition, there are periodic evening hours required (1-2 times a month). 

What you’ll do:  

Office Responsibilities (50% of time) 

  • Be the face of Nexamp when guests visit our space, greeting and assisting them as needed (no reception)
  • Ensuring successful operations in the Boston Office and maintaining a pristine office appearance:
    • Maintaining cleanliness of kitchen, conference rooms, communal areas, supply rooms, etc.
    • Placing orders for office equipment, supplies, or provisions/snacks
    • Distribution of mail, as well as any handling of shipment of outgoing business-related packages 
  • Acting as the organization's point person for outside vendors, building management, and service providers
  • Maintaining accurate records and budgets related to employee food/supply ordering, including tracking expenditures and managing expenses within budgetary constraints

  Engagement Responsibilities (50% of time) 

  • Assisting with the development and execution of projects aimed at advancing company goals and initiatives with a focus on creating a culture of learning and recognition. This may include projects focused on rewards and recognition, mentorship programs, and other professional development and learning activities.
  • Actively researching and proposing new, creative ideas to enhance the fun and engagement levels within the office, developing project plans and executing on these plans
  • Coordinating brainstorming meetings with team members to solicit ideas for social events and activities and that promote a positive and enjoyable atmosphere; translating these ideas into action plans
  • Assisting in executing office engagement events; educational workshops, learning days and wellness initiatives
  • Planning and organizing regular office-wide events such as parties, and milestone celebrations
  • Assisting in organizing new team member onboarding activities that help new hires integrate smoothly into the office
  • Assisting in researching and identifying external vendors and resources to support activities
  • Taking the lead on creating and distributing communication materials to promote upcoming activities and events
  • Regularly gathering feedback from our team members through surveys to assess their office engagement and make recommendations for improvement

What you’ll bring: 

  • 2+ years of experience working in a customer facing and/or office support role 
  • Proven success managing projects 
  • Ability to build solid relationships across various cross-functional internal partners and external providers/vendors 
  • A client service orientation, meeting and anticipating client needs 
  • Top-notch organizational skills and attention to detail 
  • Excellent verbal and written communication skills 
  • Strong time management skills with an ability to meet deadlines 
  • Proficiency with Microsoft products (Word, Excel, Power Point) 
  • Experience managing budgets is preferred 
  • Experience in showcasing initiative to make improvements to current work, processes, products, and services across the organization. We value accountability and an ownership mentality.
