Job Summary

Payroll Manager leads all aspects of the end-to-end payroll functions for employees across the U.S. and Canada. This role is critical to ensuring accurate, timely, and compliant payroll processing for a diverse, multi-jurisdictional workforce. The Payroll Manager is responsible for handling vendor relationships, overseeing the payroll systems, and ensuring compliance with both U.S. and Canadian payroll regulations. This role involves close collaboration with Human Resources, Finance, and IT teams to streamline payroll operations and implement standard methodologies.

Principal Responsibilities

Payroll Processing & Compliance Management

  • Lead the payroll processing for both U.S. and Canadian employees, ensuring accurate calculations of wages, bonuses, commissions, deductions, benefits, and taxes. Process payroll for over 5000+ employee in North America.

  • Ensure strict adherence to U.S. and Canadian payroll laws and regulations, including federal, state, provincial, and local tax requirements. Stay up to date with legislative changes and ensure the payroll system is configured to align with these updates.

  • Be responsible for payroll tax filings and remittance, including federal, state, and local taxes in the U.S. and federal and provincial taxes in Canada.

Process Improvement & Project Management

  • Continuously evaluate payroll processes for opportunities to increase efficiency, accuracy, and compliance.

  • Lead payroll-related projects, including process improvements, system upgrades, and cross-functional initiatives.

  • Implement and monitor internal controls for payroll processes to ensure compliance with audit requirements and safeguard against errors, fraud, or discrepancies. Lead periodic internal and external payroll audits.

Team Leadership & Development

  • Manage and mentor a team of payroll leads and analysts, providing leadership, training, and development opportunities.

  • Assist in workforce planning and staffing decisions within the payroll department

Payroll Systems Administration & Optimization:

  • Oversee the functionality and performance of payroll systems (e.g., ADP, Ceridian, Workday, etc.).

  • Work closely with IT teams and third-party vendors to handle software upgrades, patches, and system improvements.

  • Act as the primary point of contact for all external payroll vendors, including software providers, tax filing services, and third-party payroll

  • Lead the procurement and renewal process for payroll service contracts

Financial & Payroll Reconciliation

  • Oversee the reconciliation of payroll-related accounts, ensuring all payroll liabilities (e.g., taxes, benefits, garnishments) are properly accounted for. Review payroll reports and resolve discrepancies in a timely manner.

  • Work with the finance team to ensure payroll-related transactions are accurately recorded in the general ledger. Provide payroll-related data for month-end and year-end financial closing processes and assist in the preparation of financial statements.

Qualifications & Experience

Education & Certificates

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

  • Certification as a CPP (Certified Payroll Professional) or similar

Technical Skills & Experience

  • 10+ years of experience managing payroll, with at least 5 years of experience leading all aspects of both U.S. and Canadian payrolls.

  • Extensive experience in payroll vendor management and systems administration.

  • In-depth knowledge of U.S. and Canadian payroll laws and tax regulations (federal, state/provincial, and local).

  • Experience in handling multi-jurisdictional payroll systems and processing payroll for a diverse workforce.

  • Expertise in payroll software and systems (e.g., ADP, Ceridian, Workday, or similar platforms).

  • Excellent communication, negotiation, and interpersonal skills to effectively lead vendor relationships and interact with employees and internal collaborators.

  • Proficiency in Microsoft Excel, and the ability to use data analysis tools to generate reports and track performance.

  • Strong leadership and team management abilities, with a focus on training, development, and performance management.
