Job Description: Administrative Assistant 

 

We are seeking an Administrative Assistant to join the Office of the CEO team. The Administrative Assistant will provide operational administrative support to the Executive Business Partner, to increase the productivity and effectiveness of the CEO. We are looking for a dynamic and collaborative team player who can help with the execution of initiatives and projects within the Office of the CEO. This position will report to the Executive Business Partner.

 

The ideal Administrative Assistant will be responsible for supporting the Office of the CEO, but also have the ability and willingness to work across teams and departments, be resourceful, independent, and take on additional responsibilities over time. They should possess excellent organizational, planning and project management skills, have the ability to effectively handle multiple priorities and a have a strong work ethic. To be successful in this role, the Administrative Assistant must be able to adapt to a fast-paced environment and be an expert in prioritizing tasks and projects. This is position is a hybrid work schedule, in-person: Tuesday, Wednesday and Thursday / Remote – Monday and Friday. Our core working hours are 8.30 am – 6 pm PT.

 

Essential Job Functions

  • Organize, track, and manage Office of the CEO projects, partnering with the Executive Business Partner to ensure the CEO’s projects and deliverables are efficiently executed
  • Support the Executive Business Partner with complex and diverse administrative duties for members of the Board of Directors
  • Partner with the Administrative team to plan Executive Team and Management Team weeks including, meetings, offsites and events
  • Track requests needed from internal team members / external partners to ensure that responses are provided in a timely manner
  • Plan and coordinate large- and small-scale corporate and companywide events
  • Proactively organize and create materials for internal meetings
  • Work across teams to manage a complex corporate calendar
  • Perform other tasks, including but not limited to, preparing correspondence and other communications, data organization, research, archiving

 

Qualifications:

  • 3+ years in an administrative assistant role or similar
  • Experience with project management or event management required
  • Curious to challenge and dig in when you find a problem and follow through to a solution
  • Experience with working in various time zones
  • Self-motivated with the ability to work independently and with minimal guidance
  • Detail-oriented and able to multi-task in a fast-paced environment
  • Willing to perform additional ad-hoc responsibilities needed
  • Has highly polished communication skills, excellent attention to detail and strong organizational skills
  • Ability to work well under pressure, adapt to unexpected events, and prioritize and multi- task in a deadline driven environment
  • Highest degree of integrity, professionalism, diplomacy and discretion when handling highly sensitive and confidential information
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Experience with Asana, Salesforce or other project management tools
